We are building a network of experienced freelancers to support workplace moves and relocations across the Greater Toronto Area. Assignments vary by project and may involve corporate offices, healthcare and education environments, financial services organizations, and facilities with records, collections or other specialized assets.

The opportunity

As a Freelance Move Management Coordinator, you will work alongside MovePlan project leads, client teams and service partners to prepare for and deliver successful moves. You will bring sound judgement, attention to detail, and a calm, professional presence to changing project environments. Depending on the assignment, your work may range from planning and audits to move-night/day coordination, vendor management, quality control, and post-move support.

What you may do

- Support the MovePlan team lead with move planning, coordination, on-site supervision and quality control.

- Coordinate with client representatives, facilities and IT teams, project workstreams, move contractors and other service providers.

- Gather, validate and maintain move data, schedules, inventories, floor plans, and other project documentation.

- Conduct audits of workplaces, storage areas, furniture, equipment, records, collections and specialized assets, as required by the project.

- Help plan and prepare move activities, including sequencing, readiness checks, labelling, communications, and implementation logistics.

- Support stakeholder engagement activities and maintain clear, timely communication with department representatives and project teams.

- Monitor move delivery, identify issues, and help coordinate practical solutions to support a smooth transition.

- Represent MovePlan professionally on site and build confidence through responsive, organized and reliable support.

- Complete weekly timesheets and submit expense documentation and project expense records accurately and on time.

Project controls and administration

- Use the MovePlan Toolkit to support the maintenance of the Project Control Plan and related project records.

- Prepare meeting notes, status updates, schedules, and other project materials as required.

- Maintain accurate and current project files in accordance with MovePlan documentation, SharePoint, information security, and IT requirements.

What you bring

- Excellent communication and client relationship skills.

- Strong attention to detail, organization, and time management.

- The ability to adapt quickly, work independently, and contribute effectively within new teams.

- A proactive approach, sound judgement and the confidence to raise issues early.

- Good spatial awareness and the ability to read and interpret floor plans.

- Proficiency with Microsoft Office applications and confidence using web-based tools and applications.

- Experience in move management, facilities, logistics, events, architecture, planning or a related field is an asset.

- Experience working with records, cultural collections, historical objects, or other specialized assets is an asset for relevant assignments.

Working arrangements

- Assignments are project-based and take place at client locations across the Greater Toronto Area.

- Availability will vary by project and may include travel between sites, early starts, evenings, nights and weekends when moves are underway.

- On-site activity requires long periods of standing and walking.

- Freelancers must be flexible, self-motivated, and comfortable working in active project and operational environments.

- Opportunities for assignments outside of the Greater Toronto Area may arise if you are open and available to take them on.

Preferred qualification

- A valid driver’s license is preferred due to travel between project locations across the GTA.
