Job Description
The Associate, Client Service (Project Management Focus) is the coordination hub of Matter's client service team. You own the operational work for each assigned family: leading account workflows, running the meeting cycle, managing entity and CRM data, and keeping the tax and planning process on track. You direct an Analyst, partner with Accounting, Reporting, and outside advisors, and build the knowledge of each family that prepares you for the Director path.
Responsibilities
- Lead the end-to-end client meeting process, from scheduling and agendas to meeting books and follow-up
- Oversee account opening and transfer workflows, and keep CRM and task records accurate
- Coordinate estate planning tools, including estate flow diagrams, and help execute estate strategies
- Help prepare financial plans, reviews, and projections
- Manage the annual tax document process, tax payments, and RMDs
- Run annual insurance renewals with brokers
- Track cash, client debt obligations, and charitable giving
- Support projects and firm initiatives
Qualifications
- 4–6 years in a family office, wealth management firm, RIA, private bank, or similar environment
- Proven ability to manage multiple workflows, owners, and deadlines at once
- Familiarity with account opening processes and custodian portals
- Strong CRM and project management tool skills
- Clear, warm, professional written communication and sound judgment on when to escalate
- Working knowledge of estate planning tools a plus
- Bachelor's degree in finance, business, economics, or a related field
- CFP designation held or in progress; Series 65 license required within 3 months of hire
