Job Title: Payroll Administrator Job Description
The Payroll Administrator oversees the full-cycle payroll process for a multi-state workforce, ensuring accurate time and attendance records, timely bi-weekly payroll processing, and compliant payroll tax and garnishment administration. This role operates as a one-person payroll function, collaborating closely with department heads, employees, accounting, and external payroll tax preparers to deliver precise and reliable payroll services.
Responsibilities
- Analyze and maintain daily time and attendance records, working with department heads and employees to ensure all time punches are accurately captured and corrected as needed.
- Independently process and transmit bi-weekly payroll for a workforce of approximately 172 employees, including 146 hourly and 46 exempt staff, under tight deadlines.
- Prepare manual payroll checks as requested, ensuring accuracy, proper authorization, and timely distribution.
- Reconcile payroll tax schedules to ensure accurate reporting and compliance with applicable regulations.
- Collaborate with an outside payroll tax preparer to resolve payroll tax discrepancies and maintain up-to-date, accurate records.
- Prepare and distribute monthly, quarterly, and annual payroll reports to the Accounting Department for review and analysis.
- Work with various government agencies to accurately prepare, distribute, and reconcile garnishment deductions in accordance with legal requirements.
- Assist the direct supervisor by preparing and gathering payroll-related information and documentation as needed.
- Perform any additional payroll-related duties assigned to support company goals and maintain smooth payroll operations.
Essential Skills
- Demonstrated experience managing end-to-end payroll operations as a primary or sole payroll administrator.
- 23 years of hands-on experience with payroll tax, garnishment processing, and reconciliation.
- Proficiency in payroll processing for a mixed workforce of exempt and non-exempt (hourly) employees.
- Experience handling multi-state payroll, including California and additional states such as Nevada, Tennessee, Texas, Georgia, Wisconsin, Ohio, and Kentucky.
- Strong skills in payroll reconciliation, including balancing payroll tax schedules and resolving discrepancies.
- Ability to work accurately under tight schedules and deadlines while maintaining attention to detail.
- Effective communication skills to collaborate with department heads, employees, accounting staff, external tax preparers, and government agencies.
- Strong organizational skills to manage a high volume of data, reports, and compliance documentation.
Additional Skills & Qualifications
- Experience using UKG payroll systems to process and manage payroll data.
- Experience using Integritime or similar timekeeping systems for daily time and attendance tracking.
- Comfort working as a one-person payroll operation, owning all aspects of payroll processing and administration.
- Familiarity with preparing monthly, quarterly, and annual payroll reports for accounting and management review.
- Ability to adapt to changing business needs and take on additional payroll-related responsibilities to support company objectives.
Work Environment
This role operates in an office setting, working primarily with UKG payroll and Integritime timekeeping systems to manage daily time and attendance and bi-weekly payroll processing. The Payroll Administrator functions as a one-person payroll operation, collaborating regularly with internal departments, external payroll tax preparers, and government agencies. The environment emphasizes accuracy, confidentiality, and adherence to deadlines while supporting a diverse, multi-state workforce.

This is a Contract to Hire position based out of Los Angeles, CA.
Pay and Benefits
The pay range for this position is $30.00 - $30.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
