Scope of Position

Provides high-level administrative support to an assigned executive leader within The Ohio State University Wexner Medical Center. Under the direction of the Administrator and Administrative Directors, this position coordinates executive calendars, communications, meetings, and administrative operations. The Executive Administrative Assistant collaborates with stakeholders across multiple departments and hospitals, requiring strong communication, organizational, and relationship-building skills. The position also supports senior leaders on matters requiring a high degree of discretion, professionalism, and confidentiality, while overseeing office-related needs such as facilities coordination and supply management.

Position Summary

The primary responsibility of this role is to coordinate and manage day-to-day activities, travel arrangements, calendars, and projects supporting the Administrator and Administrative Directors, as assigned. The role involves interaction with individuals at all levels of the organization as well as members of the public. Responsibilities include developing and coordinating materials for meetings, tracking and following up on multiple requests, drafting and composing correspondence and reports, taking meeting minutes, scheduling meetings, making reservations and travel arrangements, ordering supplies and food, and performing other duties as assigned. Additionally, this role will assist with senior leaders' calendars and administrative tasks as needed.

Work Arrangements

This role works within a hybrid and on-site work environment, collaborating effectively with team members across a variety of work settings and locations. The majority of the work week will consist of being on-site to support senior leadership.

Required Qualifications

- Bachelor's degree or equivalent experience.
- 2 years of relevant experience preferred.
- Administrative experience in a hospital, executive suite, and/or supporting multiple leaders is desired; two years’ experience in administrative capacity is required.
- This position will require a person with sound judgment and the ability to prioritize.
- This position requires the ability to define problems, collect data, establish facts, draw conclusions and recommend appropriate action.
- Demonstrates competence in technical, interpersonal, educational and cognitive skills required to meet essential job functions.
