ESSENTIAL DUTIES
- Serves as a guardian of The Ritz-Carlton Gold Standards and is a positive role model, prioritizing the culture, driving appreciation, energizing personal service, enlivening empowerment, cultivating quality, leading with compassion and accountability, inspiring innovation, and celebrating successes.
- Plans and executes joining and leaving movements for assigned Ladies and Gentlemen, coordinating travel, lodging, and port agent arrangements against each yacht's itinerary and each individual's rotation date.
- Issues clear, complete, and timely joining instructions, including travel documents, embarkation details, and what to expect on arrival; supports logistics of document, certificate, licensing, and training, ensuring full compliance with maximum convenience.
- Monitors travel in progress and responds to disruptions, rebooking and rerouting as needed and keeping the Lady or Gentleman, the yacht, and the Manager informed until the movement is complete.
- Verifies travel-critical documentation — passports, visas, seafarer books, and medical certificates — is in hand and valid before travel begins.
- Coordinates crew movements for trainings, meetings, transfers between yachts, and compassionate or medical travel, applying the same standard of care as scheduled rotations.
- Maintains accurate movement records and contributes to reporting on time to mobilize, travel spend, and disruption recovery.
- Partners with TDS Coordinators upstream and Travel Coordinators alongside, ensuring movement planning and flight booking operate as one seamless process.
QUALIFICATIONS
- Bachelor's degree from an accredited university or college, or equivalent experience.
- Minimum of two (2) years of experience in crew mobilization, travel operations, crewing, or logistics coordination, preferably supporting seafarers or international workforces.
- Working knowledge of STCW and MLC 2006 requirements as they affect crew movement and joining, or demonstrated ability to acquire it quickly.
- Demonstrated ability to remain composed and effective through time-critical disruptions across multiple time zones; willingness to work a schedule aligned to fleet operations, including occasional evenings, weekends, and on-call coverage.
- Experience working in a diverse and multi-cultural environment required.
- Exceptional organizational skills and attention to detail across many simultaneous movements.
- Proficient in the use of computers and standard office software; experience with Adonis or comparable maritime crewing systems preferred.
PHYSICAL REQUIREMENTS
While performing the duties of this job, the Lady or Gentleman is regularly required to sit for extended periods; use hands and fingers for sustained computer work; talk and hear, including by telephone and video conference across multiple time zones; and occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus for prolonged screen use.
The position operates on a schedule aligned to fleet operations across time zones, which may include early mornings, evenings, weekends, and on-call coverage. Periodic time aboard the Company's yachts may be required; while embarked, the Lady or Gentleman must be physically able to participate in emergency lifesaving procedures and drills applicable to visitors and supernumeraries, and to move safely about a vessel at sea, including the use of stairs and watertight doors.
COMMUNICATION
All Ladies and Gentlemen must be able to communicate in the English language in order to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, supervisors, and co-workers.
