Dentons Business Services EMEA (DBSE) is a strategically important business services center delivering critical capabilities across Finance, IT, HR/Talent, Marketing & BD, Risk, and Operations to Dentons offices across Europe and UKIME, as well as supporting global roles.
The HR Payroll and Administration Specialist is responsible for supporting HR administration and payroll-related processes throughout the employee life cycle, including employee data management, payroll input preparation and verification, benefits administration, employee queries, reporting and cooperation with external payroll and benefits vendors. The role helps ensure accurate, timely and compliant HR and payroll operations, while providing a high-quality employee service experience.
The role also supports HR reporting, PPK administration, employee service processes and HR projects related to automation, self-service and continuous improvement of HR operations.
About the role
- Manage HR administration throughout the employee lifecycle, including onboarding, offboarding, and employee changes.
- Maintain accurate and up-to-date employee data across HR systems, payroll files and documentation.
- Coordinate employment changes, transfers, contract extensions, and related system updates.
- Prepare, consolidate and verify payroll inputs, including salaries, absences, overtime and allowances.
- Coordinate payroll processes with HR, Finance, Accounting and the external payroll provider.
- Administer employee benefits, including medical care, life insurance, PPK and the Worksmile platform.
- Respond to employee and manager HR queries and provide day-to-day HR support.
- Prepare employment-related certificates, confirmations and other HR documentation.
- Prepare regular and ad hoc HR/payroll reports and support data analysis for HR and management.
- Support salary benchmarking, compensation reporting and annual compensation review processes.
- Support HR projects related to automation, digitalization, process improvements and changes in Polish labour law.
- Maintain HR process documentation, calendars, checklists and knowledge base materials.
Requirements
- Higher education preferred in HR, payroll, finance, administration, law or related field.
- Minimum 4 years of experience in HR payroll, HR administration or HR operations.
- Solid knowledge of Polish labor law, payroll, working time, benefits and HR processes.
- Experience with payroll preparation/verification, employee data, HR reporting and HR/payroll systems.
- Very good MS Office skills, especially Excel.
- Fluent Polish and English.
- Strong attention to detail, organization, ownership and ability to meet deadlines.
- Excellent communication skills, proactive problem-solving approach and discretion with confidential data.
