Ray Quinney & Nebeker of Salt Lake City, UT, one of Utah's largest and most respected full-service law firms, is seeking an experienced, detail-oriented Legal Assistant to join our Tax, Trusts, and Estate Planning group.

This is an excellent opportunity for a legal assistant who takes pride in providing exceptional support to attorneys and clients. The Legal Assistant will work closely with attorneys in the group and will be responsible for a variety of duties including preparing and revising estate planning and probate documents, coordinating client meetings and signing appointments, managing calendars, maintaining client files, and communicating with clients, courts, and other professionals.

The ideal candidate is highly organized, dependable and comfortable managing multiple priorities in a fast-paced professional environment. Discretion and the ability to maintain strict confidentiality are essential.

Primary Duties & Responsibilities

- Draft, revise, and format estate planning documents, including wills, trusts, certificates of trust, powers of attorney, health care directives, and tangible personal property lists

- Prepare and assist with probate documents, including petitions, death certificates, acceptances, waivers and releases, orders, letters testamentary, and related documents

- Research county recorder records and prepare and electronically record deeds

- Attend client signing meetings with attorneys and assist with meeting preparation and follow-up

- Maintain accurate and organized electronic and hardcopy client files

- Organize and file legal pleadings and other documents to ensure procedural and filing requirements are met

- Assist with the preparation of Forms 706 (Estate Tax Returns) and 709 (Gift Tax Returns) using firm software

- Coordinate and manage attorney calendars, including client meetings, court hearings, signing appointments, and continuing legal education programs

- Communicate professionally and effectively with clients, courts, outside counsel, and other third parties

- Assist with time entry, billing records, invoicing, and related billing matters

- Assist with annual attorney license renewals and continuing legal education requirements in multiple states

- Perform general administrative duties, including scanning, copying, document preparation, and telephone coverage

- Handle sensitive and confidential client and firm information with the highest level of discretion

Knowledge, Skills and Abilities

- Proficient in Microsoft Office and Adobe

- Excellent written and verbal communication skills

- Exceptional organizational skills and attention to detail

- Ability to manage multiple deadlines and priorities while maintaining accuracy

- Ability to take initiative, anticipate needs, and work independently with minimal supervision

- Professional and courteous demeanor when interacting with clients, attorneys, courts, and colleagues

- Strong typing and proofreading skills

- Ability to maintain strict confidentiality

- Experience with electronic deed recording preferred

- Comfortable learning and using legal software and document management systems

Qualifications

- 3+ years of experience as a legal assistant , preferably supporting attorneys practicing in tax, trusts and estates, probate, or transactional law

- Associate degree or other two-year degree preferred; or equivalent legal assistant experience

- Utah Notary Public commission, or ability to obtain one

- Prior experience with estate planning, probate, deeds, or tax-related legal work strongly preferred
