Sojourn House provides Emergency Shelter and Transitional Housing services to newly arrived refugees coming from all parts of the world.

Why this Role matters

Sojourn House is looking for an Operations Administrator to join our team on an 18-month full-time contract to provide parental leave coverage.

Reporting to the Manager, Finance and Administration, you will provide administrative and operational support across the organization, working with the Executive Director, management, employees and clients.

This is a dynamic role where you will wear many hats to help keep the Agency’s day-to-day operations running smoothly. Your responsibilities will span general administration, office and IT coordination, financial administration and organizational projects. You will work primarily on-site and be a trusted resource for staff across the organization.

What You’ll Do

- Provide general administration, reception and customer service support across the Agency.

- Coordinate new employee administrative set-up, including email, telephone, voicemail, ID cards and office requirements, in collaboration with People Services.

- Coordinate Management and Agency meetings, including agendas, meeting materials, logistics and minutes.

- Maintain office supplies, furniture and equipment inventory and coordinate with external service providers as required.

- Provide basic troubleshooting support for office technology, including computers, printers, photocopiers and telephone systems.

- Maintain the Agency’s website and social media platforms.

- Support the coordination of the Annual General Meeting and other Agency events.

- Support financial administration, including client rental payments, bank deposits, bank reconciliations, EFT transactions and general ledger entries.

- Provide backup support for payroll and related administrative processes.

- Provide administrative support for special projects and organizational initiatives.

What You’ll Need

- Post-secondary education in Office Administration, Business Administration, Business Management or a related program.

- Minimum 2–3 years of office administration or management experience; non-profit or community services experience is an asset.

- Intermediate proficiency in Excel and Microsoft Office, with comfort working across a variety of IT and digital systems.

- Knowledge of applied bookkeeping procedures and experience supporting financial administration.

- Experience with BambooHR and Ceridian payroll systems is an asset.

- Experience with social media platforms and website administration; working knowledge of WordPress is an asset.

- Strong organizational and time-management skills, with the ability to manage competing priorities in a busy environment.

- Excellent written and verbal communication, interpersonal and customer service skills; a second language is an asset.

- Sound judgment and discretion when working with confidential information.

- Understanding of refugee issues and a commitment to anti-racism, access and equity.

What to expect

- This is a full-time, 18-month contract providing parental leave coverage.

- The standard work week is 40 hours, with occasional evening or weekend work as required.

- The role is primarily office-based, with occasional travel between Sojourn House locations.

- You will work in a dynamic shelter environment supporting employees and managers across different programs and locations.
