Position Summary

The Dispatch Coordinator schedules and communicates commercial service work so the right technician, information, parts, and customer expectations are aligned. The role balances customer urgency, technician skills, geography, service agreements, safety, and productive use of field resources. This position reports to the Service Customer Experience Team Manager.

Principal Duties and Responsibilities

- Receive service requests, confirm customer, site, equipment, priority, access, contact, purchase-order, and billing information.

- Create and update service calls and assign technicians based on skill, location, availability, urgency, agreement coverage, and manager direction.

- Communicate arrival windows, schedule changes, delays, parts status, and next steps to customers and technicians professionally.

- Monitor active calls, technician status, emergencies, callbacks, aging, and unassigned work and escalate risks promptly.

- Coordinate after-hours and on-call response in accordance with established procedures.

- Maintain accurate customer, site, contact, equipment, dispatch, and call notes in service systems.

- Support purchase orders, time review, call closeout, follow-up scheduling, parts coordination, and customer documentation.

- Contribute to dispatch coverage, standard work, customer-service measures, and process improvements.

- Perform other duties as assigned.

Required Qualifications

- At least 2 years of dispatch, scheduling, customer service, call-center, field-service, or closely related experience.

- Ability to manage frequent changes, competing priorities, customer urgency, and detailed system updates.

- Strong professional telephone, written communication, de-escalation, and teamwork skills.

- Proficiency with Microsoft Office and dispatch, field-service, CRM, or scheduling software.

- Ability to support assigned early, late, after-hours, or rotating coverage schedules.

Preferred Qualifications

- Commercial HVAC, plumbing, controls, facilities, or construction service experience.

- Experience with service-management, GPS/telematics, CRM, ERP, or customer-portal platforms.

- Bilingual English/Spanish skills.

Working Conditions

Work is performed primarily in a professional office environment. The employee regularly uses a computer, telephone, and standard office equipment and may sit or stand for extended periods. The role requires frequent communication, close visual work, and occasional movement of office materials weighing up to 15 pounds.
