Essential Duties and Responsibilities
Shipping & Outbound Logistics
- Pick, stage, pack, label, and prepare materials and finished goods for shipment according to customer, company, and carrier requirements.
- Verify part numbers, quantities, serial/lot information, packaging requirements, and shipping destinations before releasing shipments.
- Prepare and verify shipping documentation, including packing lists, bills of lading, shipping labels, commercial invoices, and other required documentation.
- Process shipment transactions accurately within the company's ERP, WMS, or shipping systems.
- Coordinate carrier pickups and deliveries with transportation providers and internal departments.
- Ensure shipments are completed accurately and on schedule to support customer delivery requirements.
- Track and trace shipments and communicate delays, damages, shortages, or other exceptions.
- Support domestic and international shipments, including required export documentation, when applicable.
- Follow established procedures for hazardous materials or other regulated shipments when properly trained and authorized.
Receiving
- Receive and unload incoming materials, supplies, equipment, and other goods.
- Verify incoming shipments against purchase orders, packing lists, and shipping documentation.
- Confirm part numbers, quantities, condition, purchase order information, and other required material identification.
- Inspect incoming shipments for visible damage, shortages, overages, incorrect materials, or other discrepancies.
- Document and photograph damaged or nonconforming shipments as required.
- Immediately communicate receiving discrepancies to Procurement, Quality, Logistics, or other appropriate departments.
- Accurately complete receiving transactions in the ERP/WMS system.
- Properly identify and route received materials to inventory, inspection, production, quarantine, or other designated locations.
- Maintain receiving documentation in accordance with company record-retention and quality requirements.
Warehouse & Material Handling
- Store materials in assigned warehouse locations using established material-handling and storage procedures.
- Pick and issue materials to production, internal departments, customers, or other facilities as required.
- Perform material transfers and inventory transactions accurately and promptly.
- Maintain proper identification, labeling, segregation, and traceability of materials.
- Ensure materials are protected against damage, contamination, deterioration, or loss.
- Maintain organized warehouse, staging, dock, and storage areas using established housekeeping and 5S principles.
- Support FIFO, FEFO, lot control, serial control, or other inventory-management practices when applicable.
- Assist with warehouse layout improvements and efficient utilization of storage space.
Inventory Control
- Maintain accurate inventory records through disciplined physical and system transactions.
- Perform scheduled cycle counts and participate in physical inventories.
- Investigate inventory discrepancies and assist with root-cause identification and corrective actions.
- Reconcile physical inventory against ERP/WMS records.
- Report material shortages, damaged inventory, misplaced materials, and other inventory issues promptly.
- Support company inventory-accuracy objectives and continuous-improvement initiatives.
- Maintain transaction accuracy when receiving, transferring, issuing, returning, or shipping inventory.
Communication & Cross-Functional Support
The Shipping, Receiving & Warehouse Specialist works closely with Procurement, Supply Chain, Production, Quality, Customer Service, Finance, Transportation, Engineering, and other departments to maintain efficient material flow.
Responsibilities include communicating material shortages and shipment delays, resolving receiving and shipping discrepancies, supporting urgent production requirements, responding to inventory questions, and providing timely shipment and material-status information.
Systems & Documentation
- Accurately enter shipping, receiving, transfer, and inventory transactions into Oracle.
- Maintain complete and accurate shipping and receiving records.
- Utilize ERP/WMS systems to research inventory, purchase orders, sales orders, material locations, and transaction history.
- Use Microsoft Office applications, email, carrier websites, scanners, barcode systems, and other warehouse technology.
- Maintain documentation in accordance with company quality, audit, regulatory, and record-retention requirements.
Experience with Oracle ERP or similar enterprise systems is preferred.
Minimum Qualifications
- High school diploma or GED required.
- Previous experience in shipping, receiving, warehousing, inventory control, logistics, manufacturing, or distribution preferred.
- Basic computer skills and experience entering transactions into business systems.
- Ability to read and understand purchase orders, packing lists, bills of lading, part numbers, inventory documentation, and shipping instructions.
- Strong attention to detail and commitment to accuracy.
- Effective verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to prioritize multiple assignments in a fast-paced environment.
- Ability to work independently while contributing effectively as part of a team.
- Ability and willingness to learn company ERP/WMS systems and established operating procedures.
Preferred Qualifications
- Experience working in a large manufacturing, distribution, aerospace, electronics, semiconductor, industrial, or technology organization.
- Experience with Oracle or comparable ERP/WMS systems.
- Forklift certification or previous powered industrial truck experience.
- Experience with cycle counting and inventory reconciliation.
- Knowledge of Lean Manufacturing, 5S, or continuous-improvement principles.
- Experience with international shipping documentation.
- DOT/IATA hazardous-material training or experience, when applicable to the operation.
- OSHA-related warehouse safety training.
Physical Requirements
The employee must be able to perform the essential functions of a warehouse and shipping/receiving environment, with reasonable accommodation where required.
The position may require the employee to:
- Regularly stand, walk, bend, reach, stoop, push, pull, and perform repetitive material-handling activities.
- Lift and move materials within company-established safe lifting requirements.
- Work around forklifts, trucks, loading docks, warehouse equipment, and manufacturing operations.
- Work in warehouse environments where temperatures, noise levels, and activity may vary.
- Wear required PPE while performing designated activities.
Specific physical requirements should be established by the company based on the actual facility, equipment, and materials handled.
Safety Requirements
