Our in-house Legal Department operates out of Swickard Shared Services in Las Vegas, supporting legal, compliance, and manufacturer relations across a multi-brand, multi-state dealership organization. The Legal Administrator is the operational backbone of the department -- managing correspondence intake and routing, OEM compliance calendars, contract administration, discovery coordination, and the records and tracking systems that keep the department's work organized, accurate, and on deadline. This position does not provide legal advice.

WHAT YOU'LL DO

• Support the day-to-day operations of the in-house Legal Department -- maintaining department workflows, intake processes, tracking logs, and status reports to support the timely completion of legal matters

• Maintain the manufacturer compliance calendar -- tracking OEM shop and audit schedules, program enrollment and certification deadlines, and required submissions, and sending reminders to dealership leadership and other company stakeholders

• Facilitate the intake, logging, and routing of legal correspondence -- including demand letters, notices, subpoenas, and service of process -- ensuring timely delivery to the appropriate attorneys and paralegals

• Administer and maintain OEM contract and franchise agreements within the company's contract management system and document depositories -- recording key terms, effective and expiration dates, renewals, and required notices, and routing agreements for signature and filing executed copies

• Coordinate and support discovery-related administrative tasks, including collecting documents from dealerships and departments

• Organize and maintain open-point and manufacturer application documentation -- assembling document packages and tracking submission deadlines as directed by company leadership

• Provide additional support to attorneys -- including calendar management, meeting coordination, and preparation of routine correspondence, reports, and documents for attorney review

WHAT WE'RE LOOKING FOR

• 4+ years of experience in legal administration, as a legal assistant, or in a related administrative role -- required. Corporate legal department or law firm experience strongly preferred

• Demonstrated experience managing legal calendars, deadline tracking systems, and legal records or document management systems -- required

• High school diploma or equivalent -- required. Associate's or Bachelor's degree in Business Administration, Paralegal or Legal Studies, or a related field, or a paralegal certificate preferred -- equivalent combination of education and relevant professional experience may be considered

• Contract administration experience preferred -- including contract databases, routing, execution, and recordkeeping

• Experience supporting automotive retail, dealership operations, or manufacturer (OEM) relations a meaningful advantage

• Knowledge of legal department operations, legal terminology, records management practices, and basic litigation and discovery processes

• Proficiency in Microsoft Office, document management, contract management, e-signature, and legal calendaring or matter management systems

• Strong organizational and process management skills -- able to maintain accurate trackers and records across multiple entities and stores simultaneously

• Exceptional attention to detail and follow-through -- able to manage numerous deadlines and competing priorities without dropping the ball

• Clear written and verbal communication skills -- able to interact professionally with attorneys, paralegals, company executives, dealership leadership, manufacturer representatives, and outside counsel

• Demonstrated discretion and sound judgment in handling confidential information
