The Role
The purpose of this role is to proactively develop the reception area to create a professional and efficient environment for Christie’s clients visiting the Belgian office in Brussels.
The role will deliver high levels of customer service both internally and externally alongside delivering administrative support in various fields. He/she will also be responsible for project planning viewings, exhibitions, tours and partnerships in collaboration with the Brussels team as well as the relevant Specialist teams, Operations and Security whilst ensuring the client experience is of the highest standard.
In addition the role will provide support to the Luxury Cluster (Jewels, Watches, Handbags, Wine), dealing with vendor’s and buyer’s requests and issues, in close coordination with the relevant departments and specialists.
Specific duties & responsibilities will include but are not limited to: -
Reception and Administrative Support
• Being the first point of contact for clients both on the telephone and receiving in person, ensuring appropriate follow-up on calls and messages received
• Providing general information related to upcoming or past sales
• Consult the specialist in charge before responding to estimate requests
• Dealing with all incoming post and distribution, handle all outgoing post
• Working on the best display of catalogues and other promotional literature in public areas and constantly monitoring cleanliness and tidiness of all public areas
• Ensure the TV screens are always displaying upcoming sales
• Managing office supplies and placing orders
• Overseeing the shipping of sale property in accordance with the Management
• Performing other duties as assigned by both the Managing Director and the General Manager in Brussels team and coordinating the agenda
• Managing administration and organization of events working within budgets pre-agreed with the Management Team and the specialists involved, and ensuring that all event-related expenses/ invoices are allocated to the appropriate project codes in advance
• Ensuring the effective project management of all activity in the public spaces from install to de-install.
• Ensure safety and security protocols are followed in coordination with the Head of Security and General Manager
• Coordinating and managing guest lists in conjunction with Client Strategy and the Specialist Team
• Support to the Luxury Cluster in Belgium (Jewels, Watches, Handbags, Wine) :
• Screening all vendor enquiries and liaising with the Specialist Teams
• Scheduling monthly valuation days

Fluent knowledge of French, Flemish and English, both written & spoken
Hours – 38 hours a week / On-site role, 5 days per week.
Salary: £51,500 per anum
