Outpatient Neurology | Hybrid | Monday - Friday, 8:30 AM - 5:00 PM

We are seeking an experienced, organized, and patient-focused Senior Practice Assistant to join our Outpatient Neurology team. In this advanced administrative role, you'll help ensure smooth and efficient practice operations while supporting patients, providers, and fellow administrative team members in a collaborative clinical environment.
Working with minimal supervision, you'll bring your expertise in scheduling, registration, billing, and patient coordination while serving as a trusted resource for colleagues. What You'll Do
- Serve as a key point of contact for patients, coordinating appointments, responding to inquiries, and supporting efficient check-in and check-out processes.
- Manage patient scheduling, maintain accurate appointment records, and assist with complex scheduling needs, including provider schedule changes and surgical scheduling as needed.
- Process patient billing forms, maintain accurate documentation, and scan records into the electronic medical record.
- Serve as a Super User for scheduling, registration, and billing systems, providing guidance and training to colleagues.
- Provide functional guidance to Office and Practice Assistants and, in partnership with the Supervisor, help oversee daily practice activities.
- Manage patient communications related to prior authorizations, provider questions, prescription refills, and test results.
- Collect co-payments when required and support other patient-facing administrative functions.
- Support daily office operations, including managing correspondence, preparing documents, maintaining records, and ensuring efficient administrative workflows.
- Collaborate with providers, clinical teams, and administrative colleagues to maintain smooth practice operations and a positive patient experience.
Qualifications
- High school diploma or equivalent required.
- 3–5 years of office experience required.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Strong knowledge of office operations, standards, and administrative procedures.
- Excellent written and verbal communication skills, including the ability to compose, edit, and proofread professional correspondence and documents.
- Ability to manage non-routine phone inquiries, resolve routine issues, and communicate effectively with patients and colleagues.
- Strong organizational, multitasking, and time management skills with the ability to manage competing priorities.
- Ability to work independently, follow established protocols, and provide guidance to others in a busy clinical environment.
