Purpose

We are currently recruiting for a Procurement Contracts Specialist II. Our team includes world-class experts and dynamic go-getters. This is a full-time position based in Calgary or Edmonton, Alberta.

We are seeking an experienced contracts professional to support both the administration of assigned contracts and the effective use, governance, and continuous improvement of contract management systems and contract lifecycle management processes.

The successful candidate will be responsible for supporting contract execution, commercial compliance, change management, reporting, contract systems administration, and closeout activities while acting as a functional business resource for contract management tools and processes. Working closely with Project Management, Engineering, Construction, Supply Chain, Legal, Finance, and Operations teams, this role helps ensure contracts are administered effectively and contract management systems are utilized consistently and in accordance with corporate standards and governance requirements.

The role combines practical contract administration and commercial management experience with strong capabilities in contract systems, reporting, process improvement, user support, and contract governance.

The role may require occasional travel to project offices, client locations, or project sites in support of business requirements.

Responsibilities

Contract Administration & Management

- Review Requests for Proposals (RFPs), Invitations to Tender (ITTs), and contract documents to identify commercial risks, non standard terms, and policy or regulatory deviations.
- Assist in the development and execution of contract strategies and contracting plans.
- Provide commercial and contractual input throughout tendering, evaluation, and execution phases.
- Support or participate in negotiations related to assigned contracts, including clarifications, amendments, variations, and claims, within delegated authority.
- Prepare or contribute to commercial evaluations, bid analyses, contract award recommendations, and approval documentation.
- Participate in contractor interviews and evaluation processes for assigned packages.
- Administer contracts during execution, including correspondence control, progress meetings, and change management tracking.
- Monitor contractor performance relative to commercial terms, scope, pricing, schedule, and contractual obligations.
- Review contractor progress claims and support invoice approval processes in accordance with contract provisions.
- Administer contract changes, amendments, and variations, ensuring appropriate documentation and approvals.
- Support claims evaluation, negotiation assistance, and settlement activities.
- Assist with contract close out activities, including final accounts, back charges, and documentation turnover
- Interface with clients to support commercial approvals and address contractual matters in line with project governance.
- Coordinate with engineering, construction, project controls, and regulatory teams to ensure contractual alignment with evolving scope and field conditions.

Contract Management Systems

- Provide functional support and guidance to contract management system users.
- Deliver onboarding and training related to contract management processes and tools.
- Facilitate communication between business users and technical support teams regarding contract management system enhancements or issues.
- Promote consistent contract administration and contract lifecycle management practices across the organization.
- Act as a business resource for contract management systems and contract lifecycle management tools.
- Assist with testing, validation, upgrades, and implementation of new system functionality.
- Support governance, compliance, and audit requirements related to contract management processes and systems.
- Develop and maintain user guides, process documentation, and work instructions.
- Support development and maintenance of contract reports, dashboards, and key performance indicators.
- Identify opportunities to improve contract administration processes, system utilization, and reporting efficiency.
- Support continuous improvement initiatives related to contract management and contract lifecycle processes.

What You Will Bring

Technical and Industry Experience

- Ability to independently administer assigned contracts through all phases of the contract lifecycle with appropriate guidance and oversight.
- Strong understanding of contract administration, commercial management, contract governance, change management, claims management, and contract closeout processes.
- Experience reviewing and interpreting contract documents, commercial terms, contractual obligations, and risk allocation provisions.
- Experience supporting tendering, evaluation, contract award, contract execution, and post-award administration activities.
- Working knowledge of contract lifecycle management practices and contract governance requirements.
- Experience supporting contract management systems, workflows, reporting, and contract data administration.
- Ability to interpret and apply contract terms, policies, procedures, and governance requirements to day-to-day contract execution activities.
- Experience preparing commercial evaluations, recommendations, contract documentation, and management reports.
- Familiarity with Canadian and/or U.S. contracting practices, regulatory considerations, and project execution environments.

Contract Management Systems Experience

- Experience supporting contract lifecycle management (CLM) platforms or contract management systems.
- Experience providing functional support, user guidance, and training related to contract management tools and processes.
- Experience supporting system testing, upgrades, configuration validation, and implementation of new functionality.
- Experience developing and maintaining process documentation, user guides, training materials, and work instructions.
- Understanding of contract data management, reporting, dashboard development, and key performance indicators.
- Experience supporting audit, compliance, and governance requirements associated with contract records and systems.

Communication and Collaboration

- Strong written and verbal communication skills with the ability to communicate contractual and commercial matters clearly and effectively.
- Ability to build collaborative relationships across multidisciplinary teams.
- Experience facilitating discussions with project teams, contractors, clients, and internal stakeholders.

Education – Qualifications, Accreditation, Training

Required

- Bachelor's degree (BA/BS) in Business, Law, Supply Chain, Engineering, Construction Management, Commerce, or a related discipline, or equivalent relevant experience.
- Minimum 8-12 years of progressive experience in contract administration, contract management, commercial management, or related disciplines.
- Demonstrated experience supporting contract execution, contract administration, commercial management, change management, claims administration, and contract closeout activities.
- Experience reviewing and administering commercial agreements and construction, services, or project contracts.
- Experience supporting contract management systems and contract lifecycle management processes.
- Experience working within EPC, EPCM, industrial, energy, mining, infrastructure, or construction project environments.
- Experience preparing commercial evaluations, award recommendations, contract documentation, and governance approvals.

Preferred

- Experience with Contract Lifecycle Management (CLM) systems and digital contract management tools.
- Experience developing contract governance procedures, workflows, and reporting solutions.
- Experience supporting system implementation, user adoption, training, and process improvement initiatives.
- Knowledge of contract compliance, audit requirements, records management, and reporting best practices.
- Familiarity with Power BI or other reporting and analytics tools related to contract performance and governance.
