About this role

SUMMARY

We are looking for a Facilities Services Coordinator who is responsible for keeping the HQ campus and 4150-building conference rooms clean, organized, functional, and ready for meetings, events, and daily use. This role supports room setup, audio/visual readiness, technology checks, housekeeping coordination, furniture condition, safety, supplies, and preventive maintenance.

The ideal candidate is dependable, detail-oriented, comfortable working with basic AV and technology systems, and able to coordinate with internal teams and vendors as needed.

RESPONSIBILITIES

Meeting & Event Space Support:

- Reset tables and chairs to the required room layout based on meeting/event needs.
- Verify seating capacity, furniture condition, clear aisles, and open exits.
- Set up podiums, presentation tables, staging areas, and event-specific signage.
- Coordinate roomsetup requestswith eventorganizers and internal teams.
- Test displays, projectors, video walls, microphones, speakers, cameras, and video conferencing equipment.
- Verify Microsoft Teams room functionality and presentation-sharing connections including HDMI, USB-C, cables, adapters, and remotes.
- Replace batteries in wireless devices and maintain spare AV equipment as needed.
- Test Wi-Fi, network ports, scheduling panels, digital signage, charging stations, and power outlets.
- Update the welcome screen in the 4150-2 lobby.

Maintenance Tasks

- Support housekeeping needs including vacuuming carpets, dusting furniture, cleaning displays, wiping boards, sanitizing high-touch surfaces, emptying trash and recycling, and addressing stains or cosmetic damage.
- Inspect tables, chairs, storage cabinets, credenzas, partition walls, lighting controls, outlets, floor boxes, and power distribution for repairs or maintenance needs.
- Verify room temperature, report hot or cold spots, and coordinate HVAC scheduling for meetings/events.
- Check emergency exit signage, fire extinguishers, clear egress paths, and flooring for trip hazards.
- Restock markers, erasers, batteries, cleaning supplies, and other consumables.
- Coordinate offsite catering when food service or onsite support is required.

Preventive Maintenance & Documentation

- Coordinate monthly AV system inspections, quarterly room condition assessments, and annual furniture inventory reviews.
- Document recurring issues, corrective actions, repair needs, and follow-up items.

QUALIFICATIONS

- High school diploma or GED
- Strong attention to detail and ability to prepare rooms to a consistent standard.
- Basic understanding of conference room AV equipment, displays, microphones, video conferencing tools, and connectivity needs.
- Ability to identify maintenance issues, communicate clearly, and coordinate follow-up with IT, facilities, housekeeping, catering, or vendors.
- Comfortable lifting 25 lbs., moving, and resetting tables, chairs, signage, and meeting/event equipment as needed.
- Reliable, organized, and able to support meeting/event schedules and changing room setup needs.

The base pay range for this role is $50,000 - $67,600. (Actual range is higher for the following office locations: Denver, CO and Chicago, IL – 5%, Seattle, WA, and Portland, OR – 10%, Washington, D.C. – 12.5%).

Base pay is positioned within the range based on several factors including an individual’s knowledge, skills, and experience, with consideration given to internal equity. This position is eligible for Mortenson’s incentive plan.
