Job Title: Admin/Expeditor Job Description
The Admin/Expeditor supports the supply chain function by managing and tracking critical orders to ensure customer demand and production schedules are met. This role acts as a key liaison between suppliers, planning, customer service, manufacturing, and internal stakeholders to expedite materials, resolve delays, and maintain accurate, up-to-date order status information. The position includes both external vendor-facing activities and internal coordination to help reduce backlog and improve overall order execution.
Responsibilities
- Manage and track critical purchase orders and material requests to ensure customer demand and production schedules are met.
- Serve as a primary point of contact for external suppliers and vendors, providing delivery status updates and conducting follow-up activities.
- Support approximately 200300 active purchase orders and material requests with around 20 suppliers and vendors for vendor-facing expediting.
- Support approximately 2030 internal orders and 80100 order lines per week for internal expediting while coordinating with planners, buyers, manufacturing, customer service, and management teams.
- Provide accurate and timely updates on material availability and order status to planning and other stakeholders.
- Review daily receipts and communicate received materials and outstanding shortages to planning and relevant internal teams.
- Proactively identify delays, material shortages, and risks, escalate issues when necessary, and help drive orders to completion.
- Maintain detailed tracking and reporting of orders, receipts, and shortages using Excel spreadsheets and ERP/business systems.
- Support backlog reduction efforts and contribute to improving overall order execution to meet customer demand.
- Collaborate closely with planners, buyers, manufacturing, customer service, and project stakeholders to resolve issues and coordinate priorities.
- Manage multiple orders, deadlines, and follow-up actions in a fast-paced manufacturing environment.
- Utilize phone, email, meetings, and internal communication tools to ensure clear, consistent, and proactive communication.
- Demonstrate strong organizational and follow-through skills to keep all stakeholders informed and aligned on order status.
Essential Skills
- 13 years of experience in administration, supply chain, manufacturing support, customer service, or operations.
- Strong Excel skills, including spreadsheet maintenance, data tracking, and basic formulas.
- Experience working within an ERP or business system.
- Excellent communication skills, including clear verbal and written communication.
- Strong follow-up skills and attention to detail when managing orders and supplier interactions.
- Ability to manage multiple priorities and deadlines in a fast-paced manufacturing environment.
- Ability to work effectively with planners, buyers, managers, manufacturing teams, customer service, and project stakeholders.
- Strong organizational skills with the ability to maintain accurate records and reports.
- Self-starter with a proactive, go-getter mentality and a focus on driving tasks to completion.
- Comfort working with high-volume workloads and frequent follow-up requirements.
Additional Skills & Qualifications
- Experience with ERP systems such as Infor XA, AS400, SAP, or similar platforms.
- Manufacturing or supply chain experience beyond the minimum requirements.
- Associate's or Bachelor's degree in Supply Chain, Business, or a related field.
- Experience in stakeholder management and vendor management.
- Interest in supporting products used in aerospace programs and hospital or healthcare systems.
- Ability to contribute to backlog reduction and continuous improvement in order execution processes.
Work Environment
This is an onsite position based in Allentown, PA within a fast-paced manufacturing and supply chain environment that supports customer demand and production schedules. The role involves working closely with planning, customer service, manufacturing, buyers, and management teams, with a high-volume workload that requires frequent follow-up, prioritization, and proactive communication. Communication occurs through phone, email, meetings, and established internal communication tools. The standard schedule is approximately 7:00 AM to 3:30 PM, with flexibility and overtime opportunities available based on business needs. The team supports significant order volume and backlog, creating an environment where urgency, organization, and clear communication are critical to success, and where the work directly contributes to products used in aerospace and healthcare applications.

Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
