Job Description

Role Overview

We are seeking an experienced, proactive and highly organised Corporate Receptionist to deliver an exceptional front-of-house experience. The role takes ownership of reception activities, maintains high standards across client-facing areas and plays an active part in identifying and following through on workplace issues. Working closely with the wider office support and facilities teams, the successful candidate will coordinate with cleaning and building management teams, ensure faults are logged with CWG and tracked to resolution, and use sound judgement to resolve routine matters independently or escalate when appropriate. This is a hands-on, collaborative position without formal team management responsibility.

Key Responsibilities

•        Welcome external guests professionally and provide high-quality hospitality, including assistance with coats, luggage, refreshments and guest Wi-Fi.

•        Manage the reception desk and help coordinate reliable front-of-house coverage, including holiday and sickness cover as required.

•        Maintain accurate meeting-room calendars and respond flexibly to changing booking requirements.

•        Answer and screen internal and external calls promptly, exercising discretion and good judgement.

•        Coordinate catering and hospitality requirements; liaise with Day Operatives to ensure meeting rooms are clean, stocked and ready for use.

•        Coordinate visitor and staff access passes in accordance with security procedures.

•        Handle incoming and outgoing mail and arrange courier services.

•        Maintain excellent presentation standards across reception, meeting rooms and communal areas through proactive checks and prompt follow-up.

•        Monitor cleaning standards and liaise directly with cleaning staff and Day Operatives to address issues and maintain service quality.

•        Identify maintenance issues, equipment faults and other facilities concerns; accurately log requests with CWG and track progress through to resolution.

•        Act as a first point of contact for routine front-of-house and workplace issues, taking appropriate action independently and escalating complex or recurring matters to the Assistant Office Manager.

•        Coordinate with building management, cleaning teams and other service providers to ensure requests are actioned in a timely manner.

•        Keep Management informed of outstanding issues, service concerns and operational priorities.

•        Take initiative during busy periods to help organise front-of-house activities and support colleagues; contribute practical improvements to workplace processes.

Skills and Experience

•        Minimum three years’ experience in corporate reception, front-of-house or a comparable professional services environment.

•        Excellent communication skills with a proven ability to deliver polished, discreet and responsive service to senior stakeholders and external visitors.

•        Confident, resourceful and proactive, with the judgement to take ownership of routine issues without close supervision.

•        Excellent organisation and time management, with attention to detail and ability to prioritise competing demands calmly.

•        Comfortable liaising with cleaning teams, facilities providers and contractors and following issues through to completion.

•        Strong interpersonal and communication skills; collaborative, reliable and flexible approach.

•        Proficient in Microsoft Outlook and other Microsoft Office applications.

•        Willingness to provide reception coverage during colleagues’ holidays and sickness.
