People Operations Manager (m/f/d) (German-Speaking)

As a People Operations Manager (m/f/d) at FORMEL SKIN / VOY, you will play a crucial role in ensuring smooth and efficient People Operations across our organization. Your primary focus will be on managing HR systems, payroll, and employee lifecycle processes while continuously improving our operational workflows. Leveraging your hands-on HR expertise and interest in AI-driven solutions, you will help build scalable, efficient processes that support our employees and enable our team to focus on what matters most.

What you’ll be doing

- HR Systems & Optimization: Play a key role in our migration from Personio to HiBob, from data transfer to workflows and templates, and continue developing the system afterwards. Take ownership of our HR systems, ensuring accurate employee data, efficient workflows, and continuous system improvements to streamline People Operations.

- Payroll Management: Support the team to independently coordinate and manage monthly payroll processes, including complex employment arrangements such as working students, mini-jobbers, variable bonuses, , ensuring accuracy and timely execution.

- Employee Lifecycle & Onboarding: Manage administrative processes throughout the employee lifecycle, including onboarding workflows, contractual documentation, employee changes, and offboarding, ensuring a smooth and structured experience.

- Maternity & Parental Leave Management: Independently coordinate maternity protection and parental leave processes, ensuring accurate documentation, compliance with German regulations, and reliable support for employees.

- AI & Process Automation: Identify opportunities to introduce AI-driven tools and automation into HR workflows, improving efficiency, reducing manual tasks, and creating scalable People processes.

- People Operations & Collaboration: Act as a reliable point of contact for operational HR matters, collaborate closely with the People team, and proactively identify opportunities to improve processes and ensure smooth day-to-day operations.

What you need to shine

- People Operations Experience: Proven hands-on experience in People Operations, HR Administration, or a comparable role, ideally within a dynamic startup or scale-up environment.

- HR Systems Expertise: Strong experience working with HRsystems, ideally HiBob, including employee data management, system administration, and workflow optimization.

- Payroll & German HR Knowledge: Practical experience coordinating payroll for different employment types, combined with a solid understanding of German payroll processes and relevant employment regulations.

- Employee Lifecycle Expertise: Experience managing onboarding and HR administration, including maternity protection and parental leave processes under German regulations.

- AI-Native & Process-Oriented Mindset: Confidence using AI tools and enthusiasm for implementing automation and improving operational workflows, combined with a structured, detail-oriented, and hands-on approach.

- Communication & Ownership: Strong organizational and problem-solving skills, the ability to work independently in a fast-paced environment, and fluent German and English skills
