The Role:

The Senior Specialist, Accounts Payable is a critical role within the Accounts Payable team and a key safeguard of the accuracy, integrity, and timeliness of our vendor payments. This role owns vendor management and maintenance, runs the weekly pay cycle, reconciles our securitized bank account, and audits invoice activity to catch errors before they become issues.

As a trusted subject matter expert, you will also support the oversight and analysis of Concur and partner closely with the AP Manager, Accounting, Treasury, and the business to keep our payables operations controlled, efficient, and audit-ready.

Responsibilities:

• Vendor Management & Maintenance: Own the vendor master file, including setting up new vendors, updating existing records, and deactivating inactive vendors. Apply rigorous attention to detail to validate vendor documentation, banking information, and legitimacy before any record is created or changed.

• TIN Matching & Compliance : Validate vendor Taxpayer Identification Numbers (TIN matching) and W-9 information to protect tax compliance, reduce backup withholding exposure, and ensure accurate vendor reporting.

• Securitized Bank Account Reconciliation : Perform the weekly reconciliation of the securitized bank account, identify and investigate variances, and partner with Accounting and Treasury to resolve reconciling items accurately and on time.

• Bank Exceptions: Review and resolve daily bank exceptions, including positive pay items, rejected or returned payments, and unauthorized or mismatched transactions, making timely pay/return decisions and coordinating with Treasury and the bank.

• Pay Cycle Execution : Run the weekly pay cycle Monday through Thursday, ensuring payments are accurate, properly approved, and released on schedule; resolve payment exceptions and escalate issues to the AP Manager when necessary.

• Rent Pay Cycle : Run the rent pay cycle, validating lease and landlord payment data, ensuring rent payments are accurate and released on time, and resolving payment discrepancies with Real Estate and other stakeholders.

• Concur Oversight & Analysis : Assist with the oversight and analysis of Concur, including monitoring activity, identifying trends and exceptions, and recommending process improvements that strengthen compliance and efficiency.

• Invoice Auditing: Audit processed invoices to identify errors such as coding and approval discrepancies and policy exceptions; research root causes, drive corrections, and share findings to prevent recurrence.

• Duplicate Payment Audit : Conduct regular duplicate payment audits across invoices, vendors, and payment runs; investigate and recover any duplicate or overpayments, and recommend control enhancements to prevent future occurrences.

• Outstanding Check Management : Manage outstanding checks, including monitoring aged items, coordinating voids and reissues, and supporting escheatment and unclaimed property requirements.

• Suspense Management : Manage AP suspense accounts by researching unapplied, unidentified, or unmatched items, clearing them to the proper accounts, and keeping balances current and supportable.

• AP Accruals: Prepare and support AP accruals each period, including identifying received-not-invoiced items, and reconcile and reverse them accurately to ensure expenses are recorded in the correct period.

• Month-End Close Support: Assist with the month-end close by completing AP-related close tasks and reconciliations, ensuring the AP subledger ties to the general ledger, and meeting close deadlines.

•1099 Production : Assist with year-end 1099 production, including data validation, vendor outreach, and corrections, to support accurate and timely IRS filings.

• Stakeholder Support: Deliver strong customer service to internal teams and outside vendors, including franchisees, field management, and RSC team members; resolve questions and issues promptly and escalate to the manager when appropriate.

• Process & Control Excellence: Follow and help strengthen departmental policies, procedures, and internal controls; analyze unusual or complex transactions and resolve them in line with department processes; serve as a resource and provide guidance to fellow AP team members.

• Special Projects & Other Duties: Support special projects and perform other duties as assigned within the accounting department.

•Follow company policies, uphold professional standards, and perform all work in a manner respectful of others.

•Target Salary $55k-$65k depending on experience
