About this role

About the Role

We are looking for a highly organised, resourceful, adaptable, and hands-on individual to join the Executive Office, supporting the Executive Director across a broad range of administrative and project-related priorities. The role will suit someone who is agile and adaptable, and open to potentially working across different teams, priorities and areas of the business.

Working closely with senior leadership, you will support key meetings and priorities, distil information and inputs into clear meeting records and action points, organize materials and notes, and prepare high-quality presentations and management materials.

Beyond core Executive Office responsibilities, you may also be deployed to support or manage selected projects and initiatives. You should therefore be comfortable moving between executive administrative support, coordination and project work as priorities evolve.

Key Responsibilities

- Prepare and coordinate materials for management, Board and other key meetings, including agendas, briefing notes presentations, and relevant supporting information.

- Attend selected meetings with the Executive Director and capture the key discussions, decisions and action items, accountabilities and timelines, producing clear and concise meeting notes.

- Organise and coordinate information and materials required for upcoming meetings and discussions, ensuring the Executive Director is appropriately briefed and key issues requiring attention are surfaced.

- Consolidate inputs from different stakeholders and synthesise them into clear and well-structured presentations, updates and briefing materials, management updates and other executive materials.

- Develop and refine PowerPoint presentations for management discussions and business reviews.

- Build effective working relationships with senior stakeholders and their teams.

- Keep management informed of progress and highlight matters requiring attention.

- Provide day-to-day oversight and coordination of the administrative support for the Executive Office.

- Ensure effective coordination of calendars, meetings, travel, correspondence and other administrative requirements.

- Handle confidential and sensitive information with discretion and professionalism.

What We Are Looking For

- Bachelor's degree in Business, Finance, Economics, Communications or a related discipline.

- Preferably 5 to 8 years of relevant working experience.

- Relevant experience may come from an Executive Office, CEO Office, business management, management consulting, management associate programme, commercial, marketing, project coordination or similar corporate environment.

- Strong ability to structure information, analyse issues and synthesise inputs into clear presentations and management materials.

- Strong written and verbal communication skills, with good PowerPoint capabilities.

- Strong organisation and follow-through, with the ability to manage multiple priorities and deadlines.

- Able to work effectively with incomplete information and take the initiative to identify and follow up on what is required.

- Agile, adaptable and comfortable working across different teams and priorities.

- Mature, professional and able to handle confidential information appropriately.

- Experience coordinating or supervising administrative or executive support staff would be advantageous.
