About Our Client

Our Client is a premier design center and interior finish solutions enterprise based in Tampa, Florida, operating a high-volume 20,000-square-foot showroom, warehouse, and project operations hub. Specializing in high-end flooring, cabinetry, countertops, and subcontractor installation services across commercial and residential sectors, our client manages complex, job-costed financial workflows. Built on a culture of meticulous detail accuracy, strict process discipline, financial confidentiality, and continuous operational improvement, our client provides a dynamic remote environment where accounting support directly safeguards vendor relationships, customer accounts, and company profitability.

Job Overview

Our Client is seeking a detail-oriented, analytical Remote Accounting Assistant to work directly alongside the Director of Finance in managing daily accounts payable (AP), accounts receivable (AR), vendor compliance, and NetSuite financial workflows. Moving beyond basic data entry, this role requires an individual who reviews documentation critically, catches pricing or quantity discrepancies on purchase orders, reconciles complex vendor statements, and maintains subcontractor compliance files. As the position evolves, this team member will take on expanding responsibility across job costing, retainage tracking, Notice to Owner (NTO) filings, and financial reporting.

Key Responsabilities

Accounts Payable (AP), Vendor Auditing & Document Verification

- Reviews purchase orders, vendor acknowledgments, item lines, pricing tiers, freight charges, and supporting documents for accuracy prior to payment entry or approval.

- Enters vendor bills, invoices, credit memos, bill credits, landed freight charges, and non-PO invoices directly into NetSuite ERP.

- Reconciles monthly vendor statements, proactively researching line-item discrepancies between supplier records and NetSuite ledgers.

- Reviews vendor return authorizations (VRAs), cash-and-carry orders, back charges, product credits, and supplier refund checks.

- Verifies vendor and subcontractor onboarding files prior to system activation, maintaining current W-9 forms, Certificates of Insurance (COI), state licensing, and compliance records.

###

Accounts Receivable (AR), Subcontractor & Job Costing Support

- Processes sales orders to customer invoices, deposit invoices, customer payments, wire transfers, and customer refund transactions.

- Assists with subcontractor work orders, stain allocations, retainage tracking, payment voucher documentation, and job-costing support.

- Supports construction finance workflows, including Notice to Owner (NTO) documentation, mechanic's lien releases, and retainage release approvals.

- Prepares daily and weekly financial queues—including AP/AR aging summaries, vendor payment proposals, and recurring operational finance reports.

###

Administrative Integrity & Financial Operations

- Maintains secure, organized digital filing systems for all financial transactions, audit trails, and physical scan archives.

- Assists the Director of Finance with internal audits, data fact-checking, discrepancy resolution, and special finance projects.

- Interacts professionally with vendors, subcontractors, home buyers, project managers, and internal leadership regarding invoice, payment, and account inquiries.

Required Qualifications

- Accounting & Bookkeeping Experience: 1–3+ years of hands-on experience in accounts payable, accounts receivable, billing, bookkeeping, or finance administration.

- Document Auditing & Data Accuracy: Strong data-entry discipline with a proven track record of auditing purchase orders, vendor bills, and line-item statements for errors.

- ERP & Accounting Software Literacy: Practical experience using enterprise accounting/ERP software, spreadsheets (Microsoft Excel / Google Sheets), and digital filing systems.

- Accounting Fundamentals & Confidentiality: Solid grasp of basic double-entry accounting principles, AP/AR aging, and an uncompromising commitment to financial data confidentiality.

- Critical Thinking & Prioritization: Strong organizational skills to manage competing tasks (invoices, statement reconciliations, urgent payment queries) without losing follow-through.

- Fluent English Communication: Native-level written and spoken English skills to correspond professionally with US vendors, commercial clients, subcontractors, and leadership.

- Schedule Alignment: Full availability to work standard business hours (Monday – Friday, 8:00 AM – 5:00 PM ET).

- Remote Workspace Infrastructure: High-performance personal workstation, HD webcam, noise-canceling headset, and enterprise-grade high-speed internet connection in a quiet workspace.

Preferred Qualifications

- Direct hands-on experience operating within NetSuite ERP (AP, AR, Purchasing, and Billing modules).

- Experience reconciling vendor statements, setting up vendor compliance (W-9s, COIs), or tracking subcontractor retainage.

- Prior experience in job-costed or trade-based industries (flooring, cabinetry, countertops, commercial construction, remodeling, building materials distribution, or field services).

- Knowledge of construction finance documentation (Notice to Owner filings, lien waivers, retainage holdbacks).

- Completed coursework in accounting, bookkeeping, finance, or business administration.
