Information Management Assistant

The project:

Mace is supporting the delivery of a large‑scale, next‑generation digital infrastructure programme in the region, working alongside a leading developer in the data centre sector. The project brings together complex design coordination, fast‑paced delivery and rigorous governance to meet the demands of a mission‑critical environment. Our team is applying global best practice in programme, project and commercial management to help shape resilient, future‑ready infrastructure at scale.

Provides accurate, timely document control and information management across project teams, consultants and subcontractors. Coordinates numbering, filing, sorting and retrieval of electronic and hard copy records, supporting effective governance, collaboration and high-quality project delivery.

You’ll be responsible for:

- You will ensure robust quality systems are in place and suitably managed in line with service excellence.
- You will manage delivery from project inception/brief, through design development and planning, contractor procurement and construction phase in accordance with the overall delivery program and agreed project milestones.
- You will manage tasks and associated deliverables in support of the Associate Director and other senior leaders, alongside the wider project and client teams, to ensure the timely and accurate delivery of the project.

- You will manage design and wider consultant teams in a collaborative manner to ensure effective completion of responsibilities.
- You will lead and manage the project team and relevant stakeholders to achieve strategic project key performance indicators (KPIs).
- You will actively network, innovate, and seek understanding of best practice, utilising the full depth of knowledge of Mace Group, the Centres of Excellence, Mace Way Control Centre and Knowledge Hub.

·        Maintain document control systems, ensuring documents are reviewed, approved, distributed, archived, and easily retrievable.

·        Coordinate with internal teams, vendors, and clients to ensure timely, accurate documentation and effective information sharing.

·        Manage ERP purchase requisitions (PRs) and track, transmit, and file electronic documents, drawings, and correspondence.

·        Establish and monitor document control procedures, goals, specifications, and KPIs.

·         Create, update, and maintain project deliverable registers, ensuring quality assurance of all outgoing deliverables.

·         Manage project information in line with Mace procedures and system standards.

·         Onboard users, administer access permissions and maintain distribution groups.

·         Quality check documents, maintain work package matrices and run project reports.

·         Support effective RFI processes and contribute to net zero carbon outcomes.

You’ll need to have:

·        Sound knowledge of project information systems, typically Aconex.

·        Understanding of construction information management processes.
