About this role
The CEO of a respected, founder-driven developer and builder in the South Bay needs a right hand. We are looking for a seasoned Executive Assistant who does far more than keep a schedule: someone who figures out how the CEO thinks, stays two steps ahead, and makes sure nothing falls through the cracks.
You will join a fast-moving, entrepreneurial team at its downtown San Jose headquarters. The work is varied, the pace is quick, and direction will not always come neatly packaged. If you like building order out of moving pieces and take pride in being the person leadership relies on, this is a seat worth talking about.
This is a full-time, in-office role in San Jose, CA.
How You Will Make an Impact
- Run point on the CEO's schedule, meetings, travel, and inbox, deciding what needs attention now and what can wait
- Think ahead: spot upcoming deadlines, open questions, and loose ends before the CEO has to ask
- Pull together what the CEO needs going into each meeting, then own the follow-up until every item is closed
- Act as a gracious, professional first point of contact for leadership, staff, clients, consultants, and partners
- Keep sensitive business and personnel information fully confidential
- Bring smart tools, including AI, into the office to save time and sharpen how work gets done
- Jump in wherever the business needs you; nothing is too big or too small
Who Thrives Here
- A career executive assistant with 10+ years of experience, including a meaningful track record supporting a CEO, President, owner, or similarly senior leader
- Background in construction, real estate, development, architecture, property management, or a closely related field is a strong advantage
- Highly organized and detail-driven, with dependable follow-through
- Clear, confident communicator in writing and in person
- Tech-savvy and curious about AI and productivity tools
- Calm and effective when plans change quickly or the path forward is not fully defined
- Low ego, hands-on, and comfortable wearing many hats
- Able to work on-site every day in San Jose, CA
Requirements
- 10+ years of progressive executive assistant experience
- Significant experience partnering directly with a CEO, President, business owner, or other top executive
- Industry experience in construction, real estate, development, architecture, or property management strongly preferred
- Expert-level calendar, meeting, travel, and correspondence management
- Excellent judgment, discretion, and professionalism
- Proficiency with Microsoft 365 and/or Google Workspace; hands-on use of AI tools a plus
- Ability to work in-office full-time in San Jose, CA

- Base salary of $125,000 to $165,000, based on experience
