Job Title: Facilities Coordinator 3 Job Description The Facilities Coordinator 3 plays a key role in ensuring that the facility operates smoothly, safely, and efficiently while providing a welcoming front-desk experience for visitors. This position combines hands-on facilities support with receptionist duties, including greeting guests, coordinating event setups and breakdowns, and supporting the facilities team with administrative tasks. The role requires 57 years of relevant experience, strong organizational skills, and the ability to work comfortably with technology and basic building systems. Responsibilities

- Coordinate routine maintenance and repairs for facility systems, including mechanical, electrical, HVAC, and plumbing, to ensure safe and reliable operation.
- Oversee daily cleaning, landscaping, and security services, ensuring that the facility remains clean, well-maintained, and secure.
- Assist in sourcing, coordinating, and supervising external contractors and service providers for facilities-related work.
- Review work performed by vendors to confirm quality, completeness, and adherence to contractual agreements and service standards.
- Provide receptionist support by greeting guests, answering inquiries, and directing visitors to appropriate rooms and areas.
- Set up and break down rooms and spaces for meetings, events, and other activities, including moving furniture and equipment as needed.
- Use a cell phone and computer, including email and basic software tools, to communicate, track work orders, and manage schedules.
- Provide administrative support to the facilities team by maintaining facility records, compliance documents, and service logs.
- Perform clerical duties such as scheduling maintenance, coordinating service appointments, and assisting with procurement and budget tracking.
- Ensure that all facilities operations comply with applicable health and safety standards and legal requirements.
- Participate in the development and implementation of emergency response plans and occupational safety procedures.
- Assist with office space allocation and layout planning to maximize efficiency and support organizational needs.
- Coordinate internal office moves and support changes to office configurations, including furniture and equipment placement.
- Liaise between staff and external providers for support services such as catering, cleaning, parking, and security.
- Manage inventory of facilities-related supplies, monitor stock levels, and place orders to ensure critical items are always available.
- Lift and move items up to 30 pounds, including occasionally lifting up to 10 pounds overhead, as part of event setups and general facilities work.
- Deliver excellent customer service to internal staff and visitors, responding promptly and professionally to facilities requests and inquiries.
- Prioritize multiple work orders and tasks, ensuring that urgent issues are addressed quickly while maintaining ongoing facility operations.

Essential Skills

- 57 years of experience in facilities coordination, facilities maintenance, or a closely related role.
- Proven organizational and coordination abilities, with the capacity to manage multiple tasks and work orders simultaneously.
- Excellent communication and interpersonal skills for interacting with staff, vendors, and visitors in a professional manner.
- Working knowledge of basic electrical and mechanical systems and building operations.
- Ability to multitask effectively and prioritize work orders based on urgency and impact.
- Familiarity with procurement processes and basic budgeting for facilities-related expenses.
- Proficiency in Microsoft Office applications, including email, word processing, and spreadsheets.
- Ability to use a cell phone and computer comfortably for communication, scheduling, and documentation.
- Capability to lift up to 30 pounds and occasionally lift up to 10 pounds overhead as part of job duties.
- Strong customer service orientation, particularly in a receptionist or front-desk environment.

Additional Skills & Qualifications

- High school diploma required.
- Associates degree or higher in business management, facilities management, or a related field is preferred.
- Experience with facility management software is preferred.
- Experience in administrator or administrative support roles is advantageous.
- Previous experience coordinating vendors and service providers is beneficial.
- Knowledge of HVAC systems and general facilities maintenance is a plus.
- Experience in a customer service-focused environment, such as reception or front office, is desirable.

Work Environment This is a full-time, on-site role with standard hours of 8:00 a.m. to 5:00 p.m., Monday through Friday. The work takes place in a professional office and facility setting that includes mechanical, electrical, HVAC, and plumbing systems, as well as landscaped and secured grounds. The environment involves a mix of front-desk reception work, administrative office tasks, and hands-on facilities activities such as event setup and breakdown and light physical work including lifting and moving items. You will regularly use a computer, email, Microsoft Office, and facility management software, as well as a cell phone for communication and coordination. The position requires moving around the facility to inspect spaces, interact with vendors and staff, and support office moves and room configurations. Professional attire suitable for a reception and office environment is expected.

This is a Contract position based out of Austin, TX.
Pay and Benefits
The pay range for this position is $23.00 - $23.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job
