Job Title: Claims Associate Job Description
The Claims Associate provides high-quality support to members by handling inbound benefit and claims inquiries in a professional, call-focused environment. This role delivers clear and accurate information, coordinates benefits, and resolves questions efficiently while navigating multiple systems. The position requires strong customer service skills, attention to detail, and the ability to remain calm, organized, and supportive on every call.
Responsibilities
- Handle member inquiries by phone, serving as the primary point of contact for benefits and claims questions.
- Provide clear, accurate, and easy-to-understand information regarding benefits, claims status, and pre-determination inquiries.
- Navigate multiple systems simultaneously, including claims processing platforms, phone systems, and Microsoft Office tools, to research and resolve member questions efficiently.
- Maintain professionalism and a calm, supportive demeanor on every call, even when managing several tasks at once.
- Manage an average of 2030 calls per day in a primarily call-focused role, ensuring each interaction is handled thoroughly and courteously.
- Coordinate benefits for existing members and respond to pre-determination inquiries related to coverage and claims.
- Identify when calls need to be transferred to Benefits Administrators and complete warm transfers when appropriate.
- Accurately document call details, actions taken, and outcomes in the appropriate systems to ensure complete and reliable records.
- Apply training on policies, procedures, and quality standards to ensure each call meets established expectations.
- Participate fully in training activities, including mock calls, systems training, and quality assurance sessions, and apply learned skills to live calls.
- Demonstrate reliability by maintaining consistent attendance, punctuality, and adherence to scheduled work hours.
- Contribute to a professional, focused, "head down and work" culture while supporting a positive and collaborative team environment.
Essential Skills
- At least 1 year of customer service experience, preferably in a call center, claims, or administrative support environment.
- Proficiency in Microsoft Office, including the ability to navigate and use common applications during calls.
- Strong data entry skills with a high degree of accuracy and attention to detail.
- Experience providing customer service over the phone, including handling a steady volume of calls.
- Ability to navigate multiple systems simultaneously, such as claims processing tools and phone systems.
- Strong verbal communication skills, with the ability to explain benefits and claims information clearly and professionally.
- Ability to remain calm, organized, and detail-oriented while managing several tasks and calls throughout the day.
- High level of reliability with consistent attendance and punctuality, with no tolerance for frequent tardiness or unplanned absences.
- High school diploma or equivalent.
Additional Skills & Qualifications
- Familiarity with medical terminology, or a willingness to learn, is highly desirable.
- Experience with claims processing or benefits coordination is a plus.
- Previous experience using systems such as UMR, internal claims processing platforms, or cloud-based phone systems is beneficial.
- Strong administrative support background, including documentation, record-keeping, and follow-up.
- Interest in pursuing additional coursework or certification related to benefits, claims, or medical terminology, with potential assistance available after approximately six months.
- Ability to thrive in a professional, focused environment that emphasizes productivity and quality.
- Comfort working in a structured schedule with limited mid-day schedule changes.
Work Environment
This role operates in a professional, focused office and hybrid environment with a strong emphasis on culture and engagement. The organization is recognized as one of the top workplaces in its area and promotes a "head down and work" culture, where employees stay focused while still enjoying a supportive team atmosphere. During the initial training period (first eight weeks), the schedule is Monday through Thursday from 8:15 AM to 5:00 PM with a 45-minute lunch, with work performed in-office Monday through Thursday and from home on Friday. Training is led by the Training Department and Quality Assurance team and covers policies and procedures, mock calls, quality expectations, and systems training. After training, employees move to a hybrid schedule with three in-office days per week: Tuesday and Thursday are required in-office days, and the third in-office day is the employees choice, with the remaining days worked from home. The role is primarily call-focused, with an average of 2030 calls per day, and uses technologies such as UMR, an internal claims processing system, a YourCloud phone system, and Microsoft Office. The environment offers limited schedule changes during the day to maintain consistency and predictability. The culture emphasizes reliability, professionalism, and engagement, supported by regular employee events such as monthly food days, cornhole tournaments, annual company outings, and holiday luncheons. Benefits include holiday pay for observed holidays such as Memorial Day, Juneteenth, July 4, Labor Day, and, if the temporary arrangement extends, additional holidays including Veterans Day, Thanksgiving and the day after, Christmas Eve, and Christmas. The compensation strategy typically starts candidates at the lower end of the range, allowing flexibility for potential increases upon conversion to permanent employment.

Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
