About your role
Executes Workplace Services work to meet employee needs while also being in compliance with company legal requirement. Ensure Workplace Services daily operation run smoothly and adapt with business requirement.
What You'll Do
1. Workplace Services Operational Management
Manage and continuously improve all WPS operations and employee services programs across Head office and 5 Sales offices, ensure operational efficiency, regulatory compliance, cost optimization, and enhanced employee experience. Act as the primary point of accountability for workplace service quality, consistency, and reliability in Corporate and Commercial functions. Key responsibilities:
- Ensure the efficiency of all WPS processes, including office administration, insurance, business licenses, communication and implementation of the Company Code of Conduct & Employee Code of Conduct, and office civil works.
- Manage and deliver all employee benefits items OTIF (Eg: Hand phone, Petrol, Car...).
- Controll and Collaborate with all Service Providers to handle WPS expenses, including office insurance, utilities, office administration supplies, outside service providers (security, cleaning, courier), office rentals and contracts, and company car repair and maintenance (full responsibility).
- Organize Company meetings, internal events, and corporate functions.
- Address workplace safety issues, job‑related injuries, and employee incident cases.
- Continuously reviewing and updating WPS Office guideline to align with current market trends and best practices.
- Managing HO & Sales cost control and participating in or providing consultancy for cross‑functional cost‑saving initiatives for Head office and Sales Office
2. Process Standardization & Continuous Improvement
- Identify and lead opportunities for process standardization, simplification, and improvement
- Establish consistent service models, SOPs, and best practices for Workplace Services.
- Define service standards and Operational excellence through efficiency initiatives, service optimization, and scalable solutions.
- Ensure a professional, consistent, and positive first‑touch experience for employees, visitors, and external partners.
3. Engagement & Office Experience
- Coordinate and enhance employee engagement activities across Head Office and Sales offices.
- Partner with People & Culture and business stakeholders to deliver impactful engagement and workplace initiatives.
- Position Workplace Services as a key enabler of employee experience, culture, and employer branding.
- Partner with BP/PP at location, business stakeholders, and vendors to ensure service quality.
- Act as a trusted advisor on workplace effectiveness and employee experience matters.
- Lead, manage, and develop the WPS team (outsourced labour) across assigned offices
- Build a high‑performing, service‑oriented team with clear roles, performance expectations, and capability standards.
- Drive engagement, ownership, and continuous learning within the WPS function.
4. Other tasks assigned by Line Managers
What You need to be successful
- BA degree is required
- At least 3-5 years in managing, delivering Workplace Service
- Careful, well-organized, detail-oriented
- Be able to work under pressure
- Good communication and supervisory skills
- Strong customer service mindset, Can-do attitude, Dealing with ambiguity and Resilience
- Ability to manage multiple, competing priorities and deadlines
- Good command of English
- Computer proficiency
- High integrity & compliance with policy & process.
- High accuracy, sensitive with numbers
