Role Purpose
The Lead – Administration & Facilities will be responsible for end-to-end administration at GCPL's Head Office and at factory locations, in addition to functional oversight of regional offices.
The role owns all administrative operations — workplace management, travel, events, transport, telecom, pantry, reception, office upkeep, storage management, ISO 9001:2015 quality/audit management, stationery management and budget management — and, at the factory locations, budgeting, security surveillance, safety, canteen, transport management and guest house management.
The incumbent will work closely with business leaders, HR, factory leadership, procurement, finance, EHS, IT, security and external service partners to ensure safe, compliant, efficient and cost-effective administration across all locations.

Team Structure
• Head Office administration resources responsible for workplace management, travel, events, transport, telecom, pantry, reception, office upkeep, storage, stationery and ISO 9001:2015 audit management
• Regional administration teams at Chennai, Kolkata and Delhi
• Factory administration teams at Chennai and Gwalior, covering security surveillance, safety, canteen, transport and guest house management
• Facility-management agencies and service partners
• Security, housekeeping, food services, transport and other outsourced support teams, as applicable
Key Responsibilities
1. Administration and Facilities Leadership
• Lead end-to-end administration and facilities operations across GCPL's Head Office and factory locations in India, with functional oversight of regional offices.
• Develop and implement a Pan-India administration strategy aligned with business priorities and employee requirements.
• Establish consistent operating standards, SOPs, service-level agreements and governance mechanisms across locations.
• Ensure workplaces and employee facilities are safe, functional, compliant and well maintained.
• Conduct periodic reviews of site performance, service quality, risks, costs and employee feedback.
• Provide strategic and operational support to senior leadership on administration and workplace-related matters.
2. Head Office Administration
• Workplace management — day-to-day workplace operations, seating, amenities and general administration
• Travel management — domestic and international business travel support and bookings
• Events management — corporate events, leadership meetings, conferences and employee engagements
• Transport management — cab and employee-mobility services
• Telecom management — telecom services and mobile connections
• Pantry management — pantry and food-service operations
• Reception management — reception, front-desk and visitor management
• Office upkeep — housekeeping, preventive maintenance and general office upkeep
• Records management — records, archives and physical storage
• ISO 9001:2015 audit management — maintaining the quality management system, coordinating internal/external audits, tracking non-conformities and ensuring timely closure
• Stationery management — procurement, inventory and issuance of office stationery and supplies
• Budget management — preparing, monitoring and controlling the Head Office administration budget
• Vendor coordination and service-performance monitoring across all the above areas
• Emergency preparedness and business-continuity support
3. Regional Office Management
• Oversee administration and facility services at the Chennai, Kolkata and Delhi regional offices.
• Ensure that regional offices follow GCPL's policies, safety standards, brand guidelines and service expectations.
• Support office expansion, relocation, refurbishment and workplace-improvement projects.
• Partner with regional business and HR leaders to understand and address local administrative requirements.
4. Factory Administration
Provide functional oversight and governance for factory administration operations at Chennai and Gwalior, with direct ownership of:
• Security surveillance — CCTV and surveillance systems, access control and coordination with factory security teams
• Safety — supporting site safety protocols and coordinating with EHS on administration-related safety requirements
• Canteen management — factory canteen operations, hygiene standards and food-service quality
• Transport management — employee and staff transport at factory locations
• Guest house management — upkeep, housekeeping and hospitality standards at factory guest houses.
• General site administration — housekeeping, horticulture, pest control, visitor management and welfare facilities such as lockers, rest areas, washrooms and changing rooms
• Support for factory events, VIP and government visits, audits and employee-engagement activities
• Ensuring administration vendors comply with factory safety requirements, statutory obligations and contractual service levels
• Support for emergency-response planning, crisis management and business-continuity preparedness
• Driving standardisation and sharing of best practices between factory locations
5. Vendor and Contract Management
• Lead the selection, onboarding and governance of administration and facilities service providers, including security, canteen, transport and guest-house vendors.
• Work with Procurement to prepare scopes of work, service specifications, BOQ’s and commercial evaluation criteria.
• Define measurable KPIs and SLAs for all major service contracts.
• Conduct structured monthly and quarterly vendor-performance reviews.
• Ensure timely resolution of service failures, escalations and contractual issues.
• Identify opportunities for vendor consolidation, cost optimisation and service improvement.
• Maintain strong governance over purchase orders, contracts, invoices and supporting documentation.
6. Budgeting and Cost Management
• Prepare and manage annual administration and facilities operating budgets for Head Office and factory locations.
• Monitor actual expenditure against budgets and investigate major variances.
• Drive sustainable cost-saving and productivity-improvement initiatives without compromising safety or service quality.
• Review costs related to travel, telecom, events, transport, pantry, canteen, security, guest house and workplace operations.
• Support business cases and financial planning for facility upgrades and capital projects.
7. Compliance, Safety and Audit Management
• Maintain and continually improve the ISO 9001:2015 quality management system, including documentation, internal audits and management review.
• Ensure compliance with applicable statutory, safety, environmental and company requirements.
• Maintain documentation and audit readiness for administration and facilities operations.
• Work closely with EHS and site leadership to identify and mitigate operational risks, including factory security and safety risks.
• Ensure vendors comply with labour, insurance, safety and statutory requirements.
• Establish emergency-response protocols covering medical incidents, fire, security threats, utility failures and other business disruptions.
• Track audit observations (ISO and statutory) and ensure timely closure of corrective and preventive actions.
8. Workplace Experience and Service Excellence
• Create a consistent, professional and employee-friendly workplace experience across locations.
• Analyse service requests, complaints and recurring issues to identify improvement opportunities.
• Introduce technology-enabled solutions for travel, visitor management, helpdesk, transport, access control and vendor monitoring.
9. Team Leadership and Development
• Lead, coach and develop administration professionals across Head Office, regional and factory locations.
• Define clear responsibilities, goals and performance expectations for team members.
• Build functional capability through training, mentoring, site exposure and sharing of best practices.
• Promote a culture of ownership, responsiveness, discipline, inclusion and continuous improvement.
Candidate Profile
Education
• Graduate degree from a recognised university.
• Postgraduate qualification or MBA in Administration, Operations, Human Resources, Facilities Management or a related discipline would be preferred.
• Relevant professional certification in facilities management, workplace management, safety, ISO 9001:2015 quality management or project management would be an advantage.
Experience
• Minimum 10 years of relevant experience in administration and facilities management.
• Demonstrated experience managing workplace management, travel, events, transport, telecom, pantry, reception, office upkeep, storage, stationery and budget management.
• Hands-on experience managing factory administration, including security surveillance, safety coordination, canteen, transport and guest house management, is essential.
• Experience managing a combination of corporate offices including stakeholder management, regional offices and manufacturing facilities.
• Hospitality, Defence services, FMCG, or a similar multi-location business-sector background is preferable.
