Job Title: Administrative Assistant Job Description This Administrative Assistant role supports a growing general contracting and construction office by providing comprehensive day-to-day administrative and clerical support. You will serve as the primary administrative resource for the location, ensuring that the office runs smoothly while leadership frequently travels to job sites. This position offers a long-term opportunity for someone who enjoys taking ownership of office operations, working independently, and building strong relationships with employees, leadership, vendors, and other contacts. Responsibilities
- Provide daily administrative support to the Director and Assistant Director, ensuring their administrative needs are met in a timely and accurate manner.
- Handle general clerical responsibilities, including filing, scanning, copying, and organizing documents to maintain an orderly office environment.
- Maintain and organize both electronic and physical files so information is easy to access and up to date.
- Prepare, format, and organize documents and correspondence as needed, including letters, reports, and other office materials.
- Assist with general office organization and administrative projects, helping to improve efficiency and maintain a professional workspace.
- Communicate professionally with employees, leadership, vendors, and other contacts via phone, email, and in person.
- Help keep administrative tasks moving forward while leadership is out visiting job sites, ensuring continuity of operations.
- Assist with invoicing and billing responsibilities as needed, supporting the timely processing of financial documents.
- Gather, verify, and organize information related to invoices and billing to support accurate recordkeeping.
- Work collaboratively with other administrative professionals in the office, sharing information and supporting team goals.
- Provide additional administrative support and take on special projects as needed, demonstrating flexibility and initiative.
Essential Skills
- 45+ years of administrative, clerical, or office support experience.
- Strong written and verbal communication skills, with the ability to interact professionally at all levels of the organization.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Strong organizational skills and a high level of attention to detail.
- Ability to work independently, prioritize tasks, and manage day-to-day responsibilities without close supervision.
- Dependable, proactive approach with a willingness to take ownership of responsibilities.
- Warm, outgoing, and approachable personality, with a focus on customer service and internal support.
- Comfortable working in a fully onsite environment.
- Hands-on experience with administrative support, customer service, clerical work, scanning, and filing.
Additional Skills & Qualifications
- Previous invoicing or billing experience is a plus but not required.
- Experience in the construction industry is a plus but not required.
- Advanced use of Microsoft Excel is beneficial for organizing data and supporting billing or reporting tasks.
- Experience using Microsoft Outlook for email, calendar management, and scheduling is highly valued.
Work Environment This role is fully onsite in a general contracting and construction office, operating Monday through Friday from 9:00 AM to 5:00 PM. You will work closely with leadership who are frequently in and out of the office visiting job sites, so you will often serve as the primary in-office administrative point of contact. The environment is collaborative and professional, with a focus on reliability, organization, and clear communication. You will use standard office technology and software, including Microsoft Office, Excel, and Outlook, as well as office equipment such as scanners, copiers, and filing systems. The position is structured as a 6-month contract-to-hire opportunity, offering a path to long-term employment for strong performers who value stability and being an integral part of a growing team.

Pay and Benefits
The pay range for this position is $20.00 - $24.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
