Job Title: RIA Client Service/Operations Manager Job Description
This role offers an experienced wealth management professional the opportunity to lead client service and operations within a growing registered investment advisory firm based in Bellevue, WA. The position is 100% onsite, Monday through Friday from 8:00 a.m. to 4:30 p.m., and supports an office of approximately five or more team members. The successful candidate will oversee client service and account operations for a firm with over $1.2B in assets under management and 200500 clients, while taking on leadership responsibilities in people management, mentoring, delegation, workflow management, and operational oversight. This is a direct placement opportunity for someone who is ready to function as a Senior Wealth Management Associate and primary point of contact for a select group of clients.
Responsibilities
- Support client service and account operations for a registered investment advisory firm with over $1.2B in assets under management and a client base of approximately 200500 relationships.
- Review an average of 15 solicited and discretionary trades per day, including block trades, ensuring accuracy, compliance, and timely settlement.
- Craft proprietary daily market research reports and present them directly to Wealth Advisors to support client communication and investment decision-making.
- Perform cash management activities across the client book in compliance with antimoney laundering (AML) regulations.
- Prepare accurate client-facing financial reports and assist advisors with preparing for client review meetings.
- Assist in the preparation and review of federal tax returns for high-net-worth clients using tax software tools.
- Serve as the primary point of contact for a select group of clients, functioning as their Senior Wealth Management Associate.
- Deliver exceptional client service by anticipating client needs, addressing concerns, and resolving issues efficiently and professionally.
- Participate in client meetings and present ideas and concepts in an organized, clear, and effective manner.
- Prepare meeting materials and summaries, and manage post-meeting action items to ensure timely follow-through.
- Oversee the gathering and maintenance of client information and ensure data integrity within the customer relationship management (CRM) system.
- Assist in developing and implementing financial plans and utilize financial planning tools and analysis to support client financial decisions.
- Oversee the new client onboarding process, including account setup, documentation, and coordination with custodians and internal teams.
- Manage ongoing account maintenance, including updates, service requests, and operational changes throughout the client relationship.
- Provide leadership in people management, including mentoring junior staff, delegating tasks effectively, and supporting their professional development.
- Manage workflow across client service and operations functions to ensure efficiency, accuracy, and adherence to firm policies and procedures.
- Contribute to operational oversight by identifying process improvements, supporting best practices, and helping maintain a high standard of service delivery.
Essential Skills
- 25 years of progressively responsible experience in the wealth management industry.
- Strong experience in wealth management client service and operations, ideally within a registered investment advisory environment.
- Proficiency with Schwab Advisor Center and related custodian platforms.
- Experience using iRebal for portfolio rebalancing and trade management.
- Familiarity with Orion for portfolio accounting and performance reporting.
- Experience with eMoney for financial planning and analysis.
- Proficiency with Albridge for data aggregation and reporting.
- Experience using Salesforce or a similar CRM platform to manage client data and workflows.
- Proficiency with Drake Tax Software for tax preparation and review.
- Experience with QuickBooks for financial and accounting-related tasks.
- Strong skills with the Microsoft Office Suite, including Excel, Word, and Outlook.
- Demonstrated ability to review and process trades accurately and in a timely manner.
- Strong client relationship management skills, including the ability to serve as a primary point of contact.
- Excellent communication skills, with the ability to present ideas and concepts clearly in client meetings.
- Strong organizational skills, including calendar management and coordination of client meetings and follow-up activities.
- Ability to ensure data integrity within CRM and other systems through careful data entry and maintenance.
- Knowledge of AML regulations and cash management practices within a wealth management context.
Additional Skills & Qualifications
- Experience supporting high-net-worth clients, particularly in tax-related matters and complex financial planning.
- Prior experience functioning as a Senior Wealth Management Associate or similar client-facing role.
- Demonstrated leadership capabilities, including mentoring, delegation, and team coordination.
- Experience participating in or leading new client onboarding processes in a wealth management firm.
- Familiarity with financial planning concepts and tools used to support client financial decision-making.
- Ability to work effectively in a small, growing team and collaborate with colleagues across multiple office locations.
- Comfort working in a fast-paced environment with multiple priorities and deadlines.
- Strong attention to detail and a commitment to accuracy in all client-facing and operational work.
Work Environment
The role is based in a small, growing wealth management office located in Bellevue, WA and is 100% onsite, Monday through Friday from 8:00 a.m. to 4:30 p.m. The firm operates as part of a larger registered investment advisory organization with additional offices in Denver and Houston, collectively managing approximately $2 billion in assets. The team environment is described as fun, collaborative, and growth-oriented, with opportunities to support and interact with colleagues in other offices once fully up to speed. The work involves extensive use of modern wealth management technologies and platforms, including Schwab Advisor Center, iRebal, Orion, eMoney, Albridge, Salesforce, Drake Tax Software, QuickBooks, and the Microsoft Office Suite. The setting is professional and client-focused, with an emphasis on delivering high-quality service and maintaining strong client relationships.
Job Type & Location
This is a Permanent position based out of Bellevue, WA.
Pay and Benefits
The pay range for this position is $75000.00 - $85000.00/yr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. 401k match 6%
Employee Benefits 100% paid, but do have to pay for additional family members.
