Role Summary
The Admin Specialist is responsible for providing comprehensive administrative and office support to the project team. This role ensures efficient document management, coordination of meetings, office administration, correspondence handling, and support for daily operational activities. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced project environment.
Key Responsibilities
- Manage daily administrative and office operations.
- Maintain and organize project documentation, records, and filing systems.
- Coordinate meetings, prepare agendas, and record meeting minutes.
- Handle incoming and outgoing correspondence, emails, and phone communications.
- Support document control processes and ensure proper document distribution.
- Arrange travel, accommodation, and logistics for project staff when required.
- Monitor office supplies and coordinate procurement requests.
- Assist in preparing reports, presentations, and other project-related documents.
- Coordinate with internal departments and external stakeholders to facilitate smooth operations.
- Ensure compliance with company policies and administrative procedures.
- Support onboarding activities for new employees and project personnel.
- Perform other administrative duties assigned by management.
Requirements
- Bachelor's degree or Diploma in Business Administration, Management, or a related field.
- Minimum 3 years of experience in administration, office management, or a similar role.
- Strong organizational and time-management skills.
- Excellent communication skills in English; Arabic is an advantage.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong attention to detail and problem-solving abilities.
- Experience working in project, construction, engineering, or consultancy environments is preferred.
- Ability to work independently and collaboratively within a team.
