We are looking for an Administrative Assistant who is highly organized, proactive, and collaborative to join our US Epilepsy & Rare Syndromes team, based in our Atlanta, GA office .
About the role
You will provide comprehensive administrative and operational support in a fast-paced, evolving environment. You will manage complex activities, handle confidential information with discretion, and help leaders and teams work effectively. Success requires strong ownership, sound judgment, attention to detail, and the ability to anticipate needs while managing competing priorities independently.
Who you’ll work with
You will work with the Head of Marketing, Head of Medical, and their respective teams. You will also partner closely with the Executive Assistant, other administrative professionals, and cross-functional colleagues across Marketing, Medical, and the broader organization.
What you’ll do
- Manage complex calendars, meetings, competing priorities, and scheduling conflicts proactively
- Coordinate meetings, travel, accommodations, catering, materials, agendas, and follow-up activities
- Prepare correspondence, presentations, spreadsheets, records, expense reports, and business materials
- Support contracts, onboarding, offboarding, documentation, and outstanding administrative activities
- Maintain SharePoint and Teams sites, document libraries, and shared resources
- Simplify administrative processes while building trusted relationships across cross-functional teams

Minimum requirements
- Bachelor’s degree or equivalent combination of education and relevant experience
- Professional administrative or business support experience managing multiple priorities and deadlines
- Proficiency with Microsoft Outlook, PowerPoint, Excel, Word, Teams, and SharePoint
- Strong written and verbal communication skills with high attention to detail
- Ability to work independently, anticipate needs, and adapt as priorities change
- Demonstrated discretion, sound judgment, collaboration, and relationship-building skills
Preferred requirements
- Experience supporting senior leaders and multiple team members
- Experience coordinating complex calendars and domestic or international travel
- Familiarity with expense management, procurement, and invoice processing systems
- Experience supporting contracts and related administrative processes
- Experience working with global or cross-functional teams
- Experience in pharmaceutical, biotechnology, healthcare, or another regulated industry
This position’s reasonably anticipated base salary range is $63,200 - $83,000. The actual salary offered will take into account related knowledge, skills, experience and location among other factors and may fall outside the expected range.
