Project Accountant
Job Description The Project Accountant plays a key role in ensuring timely and accurate invoicing to maintain steady cash flow for multiple construction projects. This position oversees all billing functions, project accounting activities, and collections support, while closely collaborating with cross-functional teams. The role requires strong attention to detail, excellent communication skills, and the ability to manage multiple deadlines in a fast-paced construction environment. Responsibilities
- Generate, audit, and complete all billing functions to ensure timely and accurate invoicing and steady cash flow.
- Coordinate with internal departments to confirm the accuracy of billing information and resolve discrepancies.
- Forecast upcoming billable expenditures and track material expenditures to ensure proper and timely payment.
- Prepare draft payment applications and related reports for project teams to review and approve.
- Facilitate monthly billing meetings to review project status, upcoming billings, and outstanding issues.
- Communicate with accounts payable specialists to ensure vendor costs are correctly billed, released, or recorded as needed.
- Maintain accurate records of invoices, deposits, retainage, and all correspondence related to payment collection.
- Manage and maintain accounts receivable and external billing processes, ensuring consistency and compliance with company standards.
- Prepare and send invoices and related billing documents to customers and general contractors.
- Update accounting systems and ensure all information is entered accurately into customer and general contractor databases.
- Maintain and update contract and job cost entries to reflect current project status and financials.
- Support collections and payables that require additional follow-up to resolve outstanding balances.
- Maintain a working knowledge of current collection requirements and apply them to daily activities.
- Assist in investigating payment delinquencies and work with stakeholders to resolve issues.
- Monitor retainage allowances and ensure they are properly tracked and recorded.
- Execute contract setup by creating newly awarded projects in company systems.
- Assist in updating project budget entries and cost coding to align with contract terms and changes.
- Maintain project-related records, including contracts, bonds, subcontracts, and related documentation.
- Confirm final project values and ensure proper removal or closeout in accounting systems.
- Track contract changes and report pending changes to relevant stakeholders.
- Process change orders and ensure all billable costs associated with changes are properly captured and invoiced.
- Track billable costs throughout the life of each project to ensure accurate and complete billing.
Essential Skills
- Hands-on experience in project accounting within the construction industry, preferably with a general contractor.
- Strong proficiency in accounts receivable, invoicing, collections, billing, and claim-related processes.
- Experience with AIA billing and construction-specific billing formats.
- Proficiency with Sage 300 accounting software.
- Strong working knowledge of Procore, with the ability to use it effectively for project and billing activities.
- Ability to update and maintain accounting systems and customer/general contractor databases accurately.
- Proficiency with Microsoft Office Suite, including Excel, for reporting, tracking, and data analysis.
- Excellent attention to detail to ensure accuracy in billing, contract entries, and project records.
- Strong communication skills to collaborate with project teams, accounts payable, and external stakeholders.
- Ability to solve problems and resolve billing and collections issues in a timely manner.
- Effective time management skills and the ability to self-manage work with minimal supervision.
- Strong organizational skills to maintain detailed records and manage multiple projects simultaneously.
- Ability to multi-task effectively and meet numerous deadlines in a fast-paced environment.
Additional Skills & Qualifications
- Experience working with construction industry software such as Textura in addition to Sage 300 and Procore.
- Background in accounting within a construction or general contractor setting.
- Familiarity with contract administration, including tracking bonds, subcontracts, and contract changes.
- Comfort working with retainage, change orders, and pending change reporting.
- Ability to build positive working relationships within a small, collaborative accounting team.
- Demonstrated reliability and commitment to producing accurate, timely financial information.
Work Environment This position is fully onsite and works as part of a small accounting team of approximately three to four people. The work environment is collaborative and detail-oriented, with a focus on supporting active construction projects through accurate billing and project accounting. The role involves daily use of Sage 300, Procore, Microsoft Office Suite, and other construction-related systems such as Textura. This is a Contract to Hire position based out of Lorton, VA.
Pay and Benefits
The pay range for this position is $36.06 - $38.46/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
