Job Summary:

The Assistant Project Manager works closely with Project Management, Operations, Sales, Estimating, and the field to plan and coordinate assigned projects so goals are met on time and within budget. The primary function is document control from signed contract to project close-out, including project files, submittals, purchase orders, material tracking, meeting notes, scheduling, take-offs, field coordination, and project financial paperwork. The Assistant Project Manager coordinates directly with vendors and suppliers and supports projects from kick-off through close-out under Project Manager oversight.

Job Responsibilities:

- Support Project Managers with documentation, submittals, scheduling, project files, and project close-out activities.

- Attend hand-off, kick-off, pre-construction, on-site, and General Contractor meetings; distribute meeting notes and communicate project updates as required

- Build and maintain project files in Sage 300 (Timberline), Master Key, Work Max, and Autodesk Build.Prepare and track submittals, purchase orders, material orders, requisitions, permits, licenses, and close-out documentation

- Coordinate with vendors, suppliers, manufacturer representatives, customers, field personnel, General Contractors, architects, and subcontractors to support successful project execution

- Create and maintain project schedules; communicate schedule changes, material updates, and other project information to appropriate stakeholders

- Take roof measurements, produce take-offs, read drawings and specifications, and enter information into estimating and project management programs

- Perform project site visits, document existing conditions, monitor deliveries and inventory, and coordinate job-site logistics

- Assist with change orders, job-cost tracking, billing packages, budget monitoring, and production metrics

- Support or manage projects from kick-off through close-out under Project Manager oversight.

- Promote excellent morale; effectively apply and enforce company standards, policies, and procedures; perform miscellaneous job-related duties as assigned

- Mentor and train junior project management team members as assigned.

Job Qualifications:

- Excellent written and verbal communication skills with the ability to engage people from diverse backgrounds, from board rooms to roof tops

- English fluency required

- Valid driver's license required

- Pass background check, drug screening, and obtain clearances where necessary

- Bachelor's degree in Construction Management, Engineering, or Business, or equivalent construction experience

- Strong organizational skills to schedule and prioritize work across multiple projects; detail-oriented

- Sufficient knowledge of Microsoft Word, Excel, and OutlookAbility to learn Sage 300 (Timberline), Master Key, Work Max, Autodesk Build, and KPA

- Proficient in reading blueprints, shop, and architectural drawings and construction specifications

- Sufficient knowledge of mathematics; ability to compute and interpret charts and graphs

- Ability to schedule and prioritize all work assignments across multiple projects

- Willingness to get on a roof and learn roof systems

Preferred Qualifications:

- 1-2 years construction experience

- Experience reading blueprints, shop, and architectural drawings

- Sage 300 (Timberline) experience

- Experience with GC-managed projects and submittal processes

Physical Requirements:

- Prolonged periods of sitting at a desk and working on a computer

- Ability to lift, carry, push, or pull materials and equipment weighing up to 50 pounds on occasion; vision capabilities may include close vision

- Physical demands include climbing ladders and hatches to access roofs, walking, standing, sitting, bending, lifting, and kneeling as needed to complete essential job functions
