Job Summary
Bring your customer service skills and passion for helping others to Wentworth Health Partners’ comprehensive women’s health center. Our team provides compassionate, personalized care at every stage of life in an environment built on privacy, trust, and respect. Services include obstetrics, gynecology, urogynecology, infertility support, and inclusive LGBTQ+ care.
Schedule: Per diem, as needed, with hours ranging from 7:00 a.m. to 5:00 p.m.
As a Per Diem Clinic/Practice Assistant, you will be an essential part of our community-based practice and help create a welcoming, efficient experience for every patient. In this role, you will help fill staffing gaps caused by call-outs, vacations, leaves, and vacancies. You will support daily administrative and clinical operations, coordinate patient visits, respond to calls and requests, and partner with practice leadership, clinicians, and colleagues in a high-volume outpatient setting.
The ideal candidate is self-motivated, dependable, comfortable communicating by phone, and has broad availability between 7:00 a.m. and 5:00 p.m. You may be a great fit if you are also a collaborative, well-organized customer service professional who communicates clearly, manages competing priorities, and enjoys helping patients and colleagues. What You’ll Do
• Perform routine administrative and clerical duties that support the clinical service and physician practice.
• Schedule patient appointments and maintain accurate appointment records.
• Welcome and assist patients throughout their visit.
• Answer incoming calls, respond to routine questions, take messages, and route inquiries appropriately.
• Support check-in, check-out, patient flow, and waiting room activity.
• Process referrals, diagnostic and laboratory orders, prior authorizations, and registration information.
• File and scan documents, print schedules, and maintain patient records.
• Obtain medical records and laboratory test results.
• Process patient billing forms and, when required, accept co-payments.
• Open and distribute mail and faxes, and prepare forms, records, schedules, and memos as directed.
• Provide general support to practice leadership, clinicians, and colleagues.
Qualifications
What You’ll Bring
- High school diploma or equivalent required.
- Previous healthcare office experience preferred.
- Basic proficiency with Microsoft Office applications.
- Knowledge of office procedures, including filing, copying, scanning, printing, and faxing.
- Ability to use a phone system, manage non-routine calls, and resolve routine issues appropriately.
- Clear and effective verbal and written communication skills, including composing and editing emails, memos, and letters and taking complete, accurate messages.
- Strong organization and time-management skills, with the ability to manage multiple tasks, follow established protocols, and work effectively within systems.
