Organizational Culture and Engagement; Program Coordination and Services
The Organizational Culture and Engagement Department works across Pew to advance institutional cultural and engagement priorities.
Program Coordination and Services supports the program department’s 40-plus projects to make Pew’s work more efficient and effective. The team partners with operations units to strengthen people management and reporting structures; refine program’s management of budgets, grants, and contracts; and implement systems to guide Pew’s work as the organization continues to evolve.
Position Overview
The Senior Administrative Assistant provides high-level administrative and operational support to the Vice President, Organizational Culture and Engagement (OCE) and the Senior Director and Director, Program Coordination and Services (PCS). The role supports these leaders across separate units, helping them manage priorities, coordinate schedules and communications, and ensure the smooth execution of work within their units as well as cross-functional work. The position also provides administrative support to the broader OCE and PCS teams, helping coordinate shared processes, activities, and operational needs.
The ideal candidate is highly organized, proactive, discreet, and skilled at balancing competing priorities across senior leaders and their respective teams. Strong judgment, communication skills, attention to detail, and the ability to anticipate needs and work independently are essential.
The Senior Administrative Assistant reports to the Senior Director, Program Coordination and Services, and will be based in Pew's Washington, DC, office. This role participates in Pew’s core in-office days on Tuesdays, Wednesdays, and Thursdays, with the flexibility to work from home the remainder of each week.
Responsibilities
- Manage complex calendars and meetings; coordinate travel and expenses; prepare and organize presentations and meeting materials; track deadlines, commitments, and follow-up items; and support projects and activities led by OCE and PCS.
- Help address the day-to-day administrative needs of both units, including coordinating team meetings and events, maintaining shared information and resources, and helping ensure consistent and efficient unit operations.
- Help maintain project information in the teams’ project management trackers, update timelines and action items, and contribute to unit project plans and related coordination.
- Serve as a key point of coordination with internal and external stakeholders and helps ensure that information, requests, and decisions are routed and addressed efficiently.
Requirements
- High school diploma or equivalent experience.
- Generally, seven years of administrative experience in a fast-paced and dynamic environment.
- Significant experience providing senior-level administrative or executive support.
- Demonstrated experience supporting multiple senior leaders, teams, and managing competing priorities.
- Familiarity with project management and collaboration tools, such as Asana.
- Excellent organizational, written, and verbal communication skills.
- Strong judgment, discretion, and interpersonal skills.
- Proficiency with standard office, scheduling, collaboration, and presentation tools.
- Ability to work effectively across departments and with colleagues at all levels.
- Demonstrated proficiency in Office applications and electronic calendars (Windows, Microsoft Word, Excel, PowerPoint, and Outlook).
Travel
This position may require occasional domestic travel to meetings and conferences.
Work Authorization
Candidates must be legally authorized to work in the country for which they are seeking employment without visa sponsorship.
Salary Range
United States Pay Range: $68,600 - $76,700
The salary range represents a reasonable estimate of the annual salary based on Pew’s commitment to provide equitable and market-competitive pay. The actual salary offered will take into consideration many factors including but not limited to job-related knowledge, skills and experience, internal pay equity, and business need.
