Senior Field Office Coordinator

This position encompasses complex administrative support, document control, timekeeping, as well as customer and contractor support on site for large projects. It may also lead other field office support personnel. This role is based on an industrial project construction site.

Play an integral role in supporting the successful delivery of large-scale industrial construction projects by serving as the central point of coordination for field office operations, project administration, workforce support, and stakeholder engagement. As a Senior Field Office Coordinator, you will provide critical operational and administrative leadership that enables construction teams, customers, contractors, and project management personnel to work efficiently and effectively in a fast-paced project environment.

You will be a trusted resource for both field and project leadership teams, ensuring project information, documentation, workforce records, and administrative processes are managed with accuracy, professionalism, and attention to detail. Your work will directly contribute to project efficiency, compliance, customer satisfaction, and overall project success.

Purpose of the role

The Senior Field Office Coordinator is responsible for providing advanced administrative and operational support for large industrial construction projects. This position oversees complex administrative functions including document control, timekeeping, reporting, workforce coordination, customer and contractor support, records management, and field office operations.

Working with limited supervision, you will manage multiple priorities while serving as a key liaison between project stakeholders. You will also support continuous improvement initiatives and may provide guidance, training, and coordination for other field office support personnel to ensure consistent and effective project support services.

You will be responsible for

- Coordinating day-to-day field office operations to support project execution and business objectives.
- Managing document control systems and ensuring project documentation, correspondence, records, and reports are maintained accurately and in compliance with project requirements.
- Administering workforce timekeeping activities and supporting payroll-related processes.
- Serving as a key administrative resource for project management, construction leadership, customers, contractors, vendors, and site personnel.
- Supporting onboarding activities, site access requirements, workforce documentation, and project administrative processes.
- Preparing and maintaining reports, presentations, spreadsheets, logs, and tracking systems that support project operations and informed decision-making.
- Managing project information and records to ensure timely accessibility, accuracy, and compliance.
- Coordinating meetings, project communications, travel arrangements, and site office activities as required.
- Supporting contractor and customer interactions by providing accurate information and responsive administrative assistance.
- Assisting with project audits, compliance initiatives, and documentation reviews.
- Identifying opportunities to improve administrative processes, systems, and workflows that enhance operational efficiency.
- Providing guidance, mentoring, and informal leadership to less experienced field office support personnel.
- Troubleshooting administrative, reporting, and system-related issues to ensure uninterrupted support for project teams.
- Supporting special projects, program coordination activities, and additional administrative functions as required by project leadership.

What you’ll bring to the role

You are a highly organized and experienced administrative professional who thrives in dynamic construction environments. You demonstrate exceptional attention to detail, sound judgment, and the ability to manage multiple priorities while maintaining a high level of customer service and professionalism.

Key qualifications include:

- Secondary school diploma or equivalent required.
- Typically 7+ years of relevant administrative, project support, document control, workforce administration, or construction support experience.
- Experience supporting industrial construction, EPC, energy, chemicals, manufacturing, mining, infrastructure, or major capital projects is preferred.
- Advanced knowledge of administrative processes, document control practices, records management, and project support functions.
- Strong understanding of systems, processes, and tools associated with field office operations.
- Ability to make independent decisions and exercise sound judgment within established policies and procedures.
- Experience coordinating multiple stakeholders while maintaining confidentiality and professionalism.
- Proficiency with Microsoft Office applications and project-related information management systems.
- Strong mathematical, reporting, and analytical capabilities.
- Excellent written and verbal communication skills with the ability to effectively interact with all levels of the organization and external stakeholders.
- Demonstrated ability to prepare presentations, reports, proposals, and other business communications.
- Experience mentoring, training, or providing guidance to team members in administrative or project support roles.
- Strong organizational, planning, and problem-solving skills.
