Job Title: Facilities Administrator Job Description
We are seeking two Facilities Administrators to support our facilities management team, particularly with retail clients. These temporary positions are available through the end of the year, with the potential to become long-term opportunities. As a Facilities Administrator, you will assist the facilities management team in ensuring successful service delivery for our clients facilities needs.
Responsibilities
- Assist the manager in addressing client inquiries and concerns, ensuring timely and quality issue resolution and service delivery.
- Follow up with contractors to ensure timely execution and closeout of work orders as directed by the manager.
- Utilize manager-provided reporting to identify and escalate open work orders that fall outside of the customers SLAs.
- Follow up on completed work orders with contractors to ensure timely delivery of invoices and backup documentation needed for compliance with the clients contract.
- Audit final contractor invoice pricing based on manager and client approval criteria to ensure it meets both the contractors stated contracted rates and markups as well as being compliant with the client's contract.
- Assist the manager in monitoring and assessing contractor performance.
- Utilize technology platforms to document facilities management activities.
Essential Skills
- 1+ year of customer service or administrative experience in a high volume/fast-paced environment.
- Ability to type 35+ words per minute.
- High School Diploma or GED.
- Strong customer service and communication skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Excellent organizational skills and attention to detail.
- Ability to work independently and take initiative.
- Basic proficiency with Microsoft Office and technology platforms.
- Comfortable performing basic mathematical calculations for invoice review and reporting.
- Dependable with strong follow-through and accountability.
Additional Skills & Qualifications
- Some college coursework or degree.
- Experience in facilities management, property management, maintenance coordination, dispatching, vendor management, or administrative support.
- Familiarity with work order management systems.
- Basic understanding of building systems, including HVAC, electrical, and plumbing.
- Experience reviewing invoices, service contracts, or vendor documentation.

Pay and Benefits
The pay range for this position is $18.00 - $21.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
