General Description and Classification Standards:
The Program Coordinator II supports the coordination of database activities related to construction permitting, interdepartmental objectives, process improvement, as well as data maintenance and reporting. This role assists with reviewing project documents, ensuring compliance with established regulations and policies, and supporting project tasks, trainings, and meetings. Responsibilities include helping monitor project activities to ensure quality standards are met, assisting with scheduling and tracking project progress, and providing administrative support to project teams. The position works with internal staff and stakeholders to share information, respond to inquiries, and help resolve routine issues. Additional duties may include assisting with plan reviews, and contributing to team projects and initiatives. The role may also participate in meetings, training, and process improvement efforts as needed. Further assignments related to easements, bonds, policies, etc. may also be added.
This position operates under general supervision and is responsible for completing assigned tasks while developing knowledge and skills within the field.
Supervision Received:
Works under very general supervision. Depending on organization structure, may work independently with responsibility for an assigned function or program. Direction received is general and focuses more on long-term and short-term operating objectives, managerial effectiveness, and operating results.
Essential Duties and Responsibilities:

• Plans, develops, and maintains strategic techniques to successfully implement and track processes, procedures, and other performance measures necessary to meet the needs of managed projects and department objectives.
• Establishes work methods, timetables, performance standards, etc.
• Evaluates and establishes departmental performance metrics and validates data accuracy.
• Conducts necessary benchmarking of departmental performance measures. Collaborates with departmental business units to create metrics based on interviews and benchmarks.
• Collects and validates data for each current departmental metric by using stakeholder feedback to improve processes.
• Identifies variances to work products, reports results, and recommends actions to improve results, as needed. Apply organizational policies.
• Coordinates and communicates with internal and external stakeholders.
• Maintain effective communication with internal teams and external stakeholders to address inquiries, provide updates and ensure smooth coordination.
• Communicate with Office of Buildings, OLIO, OCCBS, Meter Applications and collaborate with various departments and stakeholders to facilitate project review and approval processes.
• Serves as the point of contact to receive and review all departmental permitting process issues submitted for evaluation.
• Provide assistance to developers and applicants by answering questions related to City of Atlanta stormwater codes and requirements for construction projects.
• Respond promptly to emails from customers, both internal and external, addressing their questions, concerns, and requests.
• Provide excellent customer service by addressing inquiries, resolving issues, and ensuring a positive experience for stakeholders involved in the plan review process.
• Attend meetings related to plan review, project coordination, and training sessions as required.
• Attend meetings with applicants to implement feedback for database improvement (development, green infrastructure, stormwater management practices, etc.).
• Utilize Oracle, Accela, ATLIS, Google Maps, Excel, Word, Zoom, Microsoft Teams: Utilize a range of software tools and platforms for data analysis, document management, communication, and collaboration.
• Provide training and guidance to current and new employees joining the team, furthering alignment of department requirements with City permitting.
• Participate in training sessions to enhance skills and knowledge relevant to plan review and project management.
• May perform other duties as assigned.
Knowledge Skills and Abilities:
This is a partial listing of necessary knowledge, skills, and abilities required to perform the job successfully, it is not an exhaustive list.
- Knowledge of construction and permitting and permitting databases for residential, commercial, and miscellaneous structures and improvements. Working knowledgeable of building codes and City of Atlanta ordinances.

Ability to read and understand architectural, structural and civil engineering drawings.
Minimum Qualifications:
Education and Experience - Bachelor's degree in Architectural or Structural Engineering, Building Construction, or related field is required. Three or more years of progressively responsible experience in engineering, project management, or a closely related technical area.
Equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for this job will be considered.
Licensures and Certifications - Level II Plan Reviewer, Level IA/B Erosion Control, training in stream identification.
Preferred Requirements - Master's degree in architectural structural engineering or a related field and five (5) to eight (8) years of project management experience in land surveying, field construction, real estate or related area.
