Standard Job Description

The Administrative Assistant will provide high‑level administrative support to three Global Supply Chain Directors.

What you will be doing? Managing complex calendars, travel arrangements, and cross‑time‑zone meeting logistics. Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member. Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. May take and transcribe dictation; uses personal computers and standard desktop software to compose reports, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. May provide guidance and direction, as needed, to lower-level secretaries and other clerical employees.

Key Responsibilities to this role:

* Acting as the primary point of contact for internal and external stakeholders
* Managing calendars and meetings for each Director
* Planning travel and completing expense reports
* Handling sensitive data, and coordinating the flow of information across functional teams
* Requires maintaining confidentiality of strategic initiatives
* Identify process‑improvement opportunities, implement productivity tools, and ensure seamless execution of day‑to‑day operations for the directors

Basic Qualifications

* Bachelor’s degree or equivalent professional experience (e.g., business administration, supply‑chain management, communications).
* Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
* Strong written and verbal communication skills
* Meticulous attention to detail
* Demonstrated ability to manage multiple calendars, travel itineraries, and time‑zone difference
* High level of organizational skills and ability to prioritize competing demands

Desired Skills

* 5 + years of proven executive‑assistant or senior‑administrative experience, preferably supporting senior leaders
* Demonstrated problem‑solving and decision‑making capabilities
* Certification in project management or office administration
* Familiarity with supply‑chain management principles

Pay Information

Full-Time Salary Range: $50300.00 - $93300.00
