The Opportunity :

The National Commercialization and Translation Institute (NCTI) at UCF is seeking an organized and proactive Administrative Assistant III to support the institute's leadership team and day-to-day operations. This role serves as a key administrative partner to institute leadership, coordinating complex calendars, board and committee meetings, travel arrangements, events, financial transactions, and administrative processes that help advance NCTI's mission of supporting innovation and technology commercialization.

This is a time-limited and Contract and Grant(C&G) funded position. Employment is subject to the availability of funding and may cease at the time funding for this employment is depleted.

Responsibilities:

- Executive and Office Support - Serve as primary administrative assistant to NCTI leadership (PI/PD, Executive Director, and program directors); schedule and coordinate in-person and virtual meetings; receive, screen, and direct incoming calls, visitors, mail, and e-mail; prepare correspondence; provide administrative support to postdoctoral scholars and students.
- Board and Committee Meeting Coordination - Schedule and support NCTI governance meetings (quarterly Strategic Board, Selection Board convenings, Partner Council, milestone review committee, and monthly operations meetings); reserve rooms and virtual links; prepare and distribute agendas and materials; assist with minutes; maintain meeting records.
- Event and Cohort Logistics - Coordinate logistics for seminars, workshops, cohort sessions, orientation, convenings, and the annual showcase, including room bookings, catering, invitations, materials, and visitor arrangements.
- Travel and Financial Transactions - Coordinate travel arrangements for NCTI staff and visitors in accordance with UCF policy; manage the UCF expense card; process reimbursements; track expenses and other budgetary transactions.
- Records Management - Prepare and maintain institute files and records according to established guidelines and retention requirements, including board and committee records and support for personnel files.
- Office Administration - Order office supplies and maintain inventory; ensure office equipment is in working order; distribute mail and packages; provide oversight for general day-to-day office operations.
- Other Duties - Perform other related administrative duties as assigned to ensure efficient institute operations.

Minimum Qualifications :

High School Diploma or Equivalent and 4+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .

Preferred Qualifications :

- Experience providing comprehensive administrative support in a professional office environment.
- Experience managing office operations, including handling incoming communications, maintaining records, and supporting daily administrative functions.
- Proven ability to work independently, anticipate needs, identify solutions, and adapt to changing priorities in a fast-paced environment.
- Experience managing complex calendars, scheduling meetings, and coordinating travel arrangements.
- Experience working in a higher education, research, nonprofit, government, or grant-funded environment.
- Demonstrated proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.

- Highly organized, proactive, and adaptable with a willingness to learn, take initiative, and contribute to a growing team environment.

Special Instructions to the Applicants:

- The anticipated hourly rate for this position is $20.29 - $21.61. The final amount will be determined based on the candidate's qualifications, experience, and internal equity considerations.

This role requires the successful candidate to work on-site at UCF as their primary work location. On-site presence is an essential function of this role.
