Medical Assistant – Ventricular Assist Device (VAD)
Position Summary
The Medical Assistant – Ventricular Assist Device (VAD) plays an important role in supporting the delivery of high-quality, patient-centered care to individuals receiving specialized cardiac and VAD services. Working collaboratively with physicians, advanced practice providers, nurses, VAD coordinators, and other members of the interdisciplinary healthcare team, this position provides essential clinical and administrative support to ensure efficient clinic operations and a positive patient experience.
Responsibilities include assisting with patient intake, obtaining and documenting vital signs, coordinating appointments, maintaining accurate electronic medical records, preparing examination rooms, and supporting daily clinical operations. The Medical Assistant also contributes to patient safety, infection prevention, and quality improvement initiatives while helping ensure continuity of care for patients with complex cardiac needs.
Essential Duties and Responsibilities
Clinical Support and Patient Care
- Assist with the coordination of daily patient care activities within the VAD clinic, promoting a safe, organized, and efficient patient experience.
- Obtain, measure, and accurately document vital signs, recognize abnormal findings, and promptly communicate concerns to the appropriate nurse or medical provider.
- Support patient intake, clinic flow, and follow-up appointment coordination to ensure timely and efficient delivery of care.
- Recognize potential medical emergencies and respond appropriately in accordance with organizational policies and established procedures.
- Provide compassionate, age-appropriate care while accommodating individual patient needs and comfort.
- Prepare examination rooms and clinical equipment for patient visits, ensuring equipment is properly maintained, cleaned, and disinfected.
- Maintain adequate inventory of clinical supplies, linens, and equipment to support daily clinic operations.
- Collect, prepare, label, and secure laboratory specimens for testing or transport as appropriate and within assigned responsibilities.
Medical Records and Documentation
- Maintain accurate and timely documentation in the electronic medical record (EMR) in accordance with departmental guidelines.
- Retrieve laboratory results, diagnostic imaging reports, outside medical records, and other clinical information to support provider review.
- Update patient demographic information, coordinate follow-up appointments, and assist with maintaining complete and organized patient records.
- Obtain and process external medical documentation to support continuity of care.
- Protect patient privacy and confidentiality in accordance with HIPAA regulations and organizational policies.
Administrative and Clinic Operations
- Assist with daily clinic preparation by gathering necessary clinical documentation and organizing patient information for scheduled visits.
- Coordinate new and follow-up appointments to support continuity of care for VAD patients.
- Answer incoming calls professionally, route inquiries to appropriate clinical team members, and facilitate timely communication.
- Scan and upload external correspondence and medical records into the appropriate sections of the EMR.
- Communicate clinic operational needs, concerns, and workflow challenges to the Clinic Manager or designee.
Patient Safety and Quality Improvement
- Follow established infection prevention protocols, including standard and transmission-based precautions.
- Maintain a safe clinical environment by identifying and reporting potential safety hazards.
- Participate in quality improvement activities, including Quality Assurance and Performance Improvement (QAPI) initiatives and Environment of Care (EOC) rounds.
- Support compliance with organizational policies, patient safety standards, and applicable regulatory requirements.
- Prepare safety reports when warranted or directed by clinic leadership.
Professionalism and Team Collaboration
- Demonstrate professionalism, accountability, compassion, and respect in all interactions with patients, caregivers, and healthcare professionals.
- Collaborate effectively with physicians, advanced practice providers, VAD coordinators, nursing staff, and other interdisciplinary team members.
- Address patient and coworker concerns with professionalism and empathy, escalating issues to clinic leadership when appropriate.
- Maintain strict confidentiality of patient information and adhere to established professional standards.
- Demonstrate flexibility, strong organizational skills, and the ability to manage multiple priorities in a fast-paced clinical environment.
- Perform other related duties as assigned.
Minimum Qualifications
Required:
- High school diploma, GED, or equivalent.
OR
- Two (2) years of work experience in lieu of the educational requirement.
Licenses and Certifications
Required:
- Current Basic Life Support (BLS) certification through the American Heart Association (AHA).
Knowledge, Skills, and Abilities
- Knowledge of general medical terminology, clinical procedures, and outpatient healthcare operations.
- Understanding of hospital policies, Joint Commission standards, HIPAA regulations, and patient confidentiality requirements.
- Ability to accurately maintain patient medical records and clinical documentation.
- Proficiency in electronic medical records, basic computer applications, and data entry.
- Working knowledge of Microsoft Office applications, including Word, Excel, and PowerPoint.
- Strong interpersonal, communication, and customer service skills.
- Excellent organizational and time-management abilities, with the capacity to prioritize responsibilities and manage multiple tasks.
- Ability to work independently and collaboratively within a multidisciplinary healthcare team.
- Strong attention to detail and commitment to patient safety, compassionate care, and service excellence.
Reporting Relationships
This position does not have formal supervisory responsibilities.
