About this role
The Payroll Assistant supports the Payroll Supervisor with accurate and timely payroll processing. This position assists with reviewing timecards, entering payroll information, maintaining records, and responding to team member questions. The ideal candidate is detail-oriented, organized, and able to handle confidential information while meeting weekly deadlines.
Key Responsibilities
- Assist with preparing and processing payroll under the direction of the Payroll Manager.
- Review timecards for missing punches, incorrect hours, and missing approvals.
- Follow up with managers to obtain corrections and approvals before payroll deadlines.
- Enter and verify approved payroll information, including hours worked, paid time off, allowances, and pay changes.
- Assist with maintaining accurate payroll records for new hires, transfers, and separations.
- Respond professionally to routine team member questions regarding pay, timecards, and payroll access.
- Research payroll discrepancies and refer corrections to the Payroll Manager for review and approval.
- Prepare payroll reports and organize supporting documentation.
- Coordinate with Human Resources to confirm that payroll changes have the required documentation and approvals.
- Protect the confidentiality of team member information. Follow established payroll procedures and assist with other payroll and administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- At least one year of payroll, timekeeping, accounting support, or related administrative experience preferred.
- Experience with ADP or another payroll system preferred.
- Working knowledge of Microsoft Excel, Outlook, and basic data entry.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Clear, professional communication and customer service skills.
- Ability to maintain confidentiality and work effectively with Payroll, HR, and operations teams.
- Experience supporting payroll for a large workforce is a plus.
Work Expectations
Maintain reliable attendance and complete assigned work within payroll deadlines. Additional hours may be required during payroll processing periods or other time-sensitive deadlines, with supervisor’s approval.
