About this role

JLL empowers you to shape a brighter way .

Our people at JLL are shaping the future of real estate for a better world by combining world class services, advisory and technology for our clients. We are committed to hiring the best, most talented people and empowering them to thrive, grow meaningful careers and to find a place where they belong.  Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.

About the Role

Working on-site with our global client, you will provide coordination and administrative support to the Design & Construction (D&C) project delivery team on the client Workplace Design & Construction (WD&C) account in China. You will help ensure the effective and efficient delivery of workplace fit-out projects — from inception through to close-out — by keeping project information, schedules, documentation and reporting accurate, current and well organised.

Reporting to the Project Lead / D&C Lead, you will be the day-to-day support point that keeps projects running smoothly. You will work closely with project managers, contractors, consultants and other JLL service lines (Facilities Management, Real Estate, Finance, Occupancy Planning and Sustainability) to deliver a holistic service and a positive experience for the client and its stakeholders.

Your Responsibilities

Your responsibilities include, but are not limited to, the following:

Project & Program Coordination

•     Support the planning, coordination and delivery of program, project and construction services to the client, following established best-practice approaches.

•     Maintain and update project schedules, trackers, action logs and status registers, and follow up with team members to keep tasks on time.

•     Help monitor and track the portfolio of projects being delivered, flagging risks, delays or issues to the project team early.

•     Coordinate meetings, prepare agendas, capture minutes and track actions through to completion.

Documentation & Systems

•     Maintain accurate, well-organised project documentation and records in account systems and shared drives.

•     Support the use and continuous improvement of workflows, procedures, templates and standardised documentation for the project team to follow.

•     Ensure documents are correctly versioned, filed and accessible to the team and client.

Financial & Procurement Support

•     Assist with the raising and tracking of purchase orders, invoices and payments, and help maintain oversight of project budgets and cost trackers.

•     Support the engagement and onboarding of contractors, suppliers and consultants, including collating quotes and required documentation.

•     Help maintain records of financial performance against account targets and highlight variances to the project team.

•     Support Capex reporting — helping compile and reconcile capital expenditure reports for the project team.

•     Assist in tracking and reporting on Capex budgets, variances and accruals, flagging discrepancies to the project team for review.

HSE & Compliance

•     Follow established Health, Safety & Environment (HSE) escalation and incident-reporting procedures.

•     Assist in collecting and maintaining HSE documentation (e.g. permits, inductions, contractor compliance records) and support site compliance requirements.

Reporting & Stakeholder Liaison

•     Prepare and support the provision of client-focused reports in line with contractual requirements and established timeframes.

•     Act as a coordination point between the project team, contractors, consultants and the client for routine queries and information requests.

•     Support the tracking of customer satisfaction data, helping identify opportunities for improvement.

Project Close-out

•     Support the efficient and timely close-out of projects, including collating and handing over project documentation.

•     Assist with the handover of documentation to Facilities Managers and Occupancy Planners for uploading to account systems.

About You

You are highly organised, detail-oriented and thrive in a fast-paced project environment. You take ownership of your tasks, communicate clearly, and enjoy being the reliable support that keeps a team on track.

•     Strong organisational and time-management skills, with the ability to juggle multiple tasks and deadlines.

•     Excellent attention to detail in documentation, data and reporting.

•     Confident communicator able to build positive relationships with internal teams, contractors, consultants and clients.

•     Comfortable coordinating people and information, and following up to keep tasks moving.

•     An understanding of — or genuine interest in — project, program and construction delivery, and how design, construction, facilities and occupancy functions fit together.

•     Proficient with Microsoft Office (Excel, Word, Outlook, PowerPoint) and comfortable learning project and financial systems.

•     A proactive, can-do attitude with a willingness to learn and grow within a project delivery team.

Qualifications & Experience

•     A qualification in project management, construction, business administration, or a related field (or equivalent practical experience).

•     1–3 years’ experience in a project coordination, administration or support role, ideally within construction, fit-out, real estate or a related industry.

•     Experience with project scheduling, documentation and purchase-order / invoice processing is highly regarded.

•     Fluency in Mandarin and professional working proficiency in English (written and spoken) is required for this China-based role.
