About Our Family
We are a warm, hard-working, and active household in Miami with three young children and a full life to match. Both parents carry demanding schedules — one is an entrepreneur running multiple businesses, the other works in media with very early morning hours and occasional travel. We are a bilingual, multigenerational household, and Spanish fluency would make this role significantly smoother for everyone involved.
Our home is lively, structured, and intentional. We already have a great team in place, including regular cleaners, a laundry specialist, landscapers, pool service, and additional staff who help support our home and businesses. We are also grateful to have family involved to help with our children daily. Dinners at our house are open to everyone, and we often have a full table. We’re looking for someone who can step in, work alongside our existing team, and help us stay organized and keep everything running smoothly as our family’s needs continue to grow.
We value efficiency, structure, and people who genuinely see what needs to be done and handle it. With multiple projects often underway at the house, we need a partner we can trust to ensure that work is being done to our standards and with our family's goals in mind. The right person will come in, assess how things are running, and help us keep things on track and operate at a higher level.
Who You Are / What We're Looking For
- Solutions-oriented self-starter: You approach challenges with two or three thoughtful options and a clear recommendation — not just a question — and confidently move work forward.
- Proactive and highly organized: You think ahead, notice the details others may overlook, and build practical systems that create lasting efficiency throughout the household.
- Gritty and resourceful: You know when to roll up your sleeves and handle something directly, when to outsource, and how to hold contractors and vendors accountable for following through.
- Warm and comfortable with children: You genuinely enjoy being around young children and can step in confidently as backup, providing hands-on support throughout the day when needed without serving as the primary caregiver.
- Collaborative team player: You work well alongside household employees and extended family members who are regularly present and involved in supporting the children and family.
- Growth-minded: You understand that trust and autonomy are built over time. You are comfortable initially bringing ideas, options, and recommendations to the team for alignment, then gradually taking full ownership as you learn the household’s preferences and rhythms.
- Open and proactive communicator: You handle feedback well and would rather over-communicate than leave others in the dark.
- Tech-savvy: You are comfortable using household management apps, digital tools, and smart home systems to keep everything organized and running smoothly.
- Spanish-speaking: Spanish fluency is strongly preferred and would be especially helpful when communicating with family members, household staff, and vendors.
Key Responsibilities

- Coordinate and prepare for family guests, events, and holidays
- Manage travel organization for family trips, including compiling travel documents, verifying TSA Precheck status, tracking advantage numbers, organizing IDs, and assisting with packing and unpacking
- Conduct occasional check-ins at a secondary property approximately two miles away (in-law apartment) to confirm home systems are functioning properly

- Handle returns, occasional gift shopping, donation drop-off coordination, and other miscellaneous errands as needed
- Break down boxes and maintain storage areas
Meal Support
Meal prep and planning support duties could increase as the scope of the role expands over time. Initial meal responsibilities will be secondary, as-needed support for the family member who manages most meal needs.
- Collaborate with family support on planning preparing meals for 7+ people with an emphasis on clean, healthy eating (as time allows)
- Assist family support with preparing school lunches, family lunches, and batch or fresh breakfast options
- Manage grocery sourcing across multiple vendors: Costco via Instacart, in-store shopping for quality-sensitive items, bi-weekly orders from Dutch Meadows (eggs, raw dairy, meats), and weekly orders from Hubbard's farm store
- Wash, prep, and cut produce for easy snacks and meal components
- Maintain a clean and well-organized kitchen throughout the day
Vendor & Property Oversight
- Serve as the primary point of contact for contractors, cleaners, landscapers, and service providers — managing scheduling, follow-up, and accountability
- Research and coordinate repairs; gather 2–3 competitive quotes and make informed recommendations
- Manage and hold vendors accountable to standards for schedule and quality of work
- Oversee ongoing landscaping, pool service, and seasonal property maintenance
- Monitor and manage home systems including HVAC, security, and pool — flagging issues proactively and coordinating resolution

- Proactively tackle and maintain ongoing organizational projects throughout the home, including toys, gear, and storage spaces
- Lead the garage refresh and organization as a priority project
- Clean and maintain air purifiers, humidifiers, and dehumidifiers on a regular schedule
Administrative & Personal Assistant Support
- Support travel planning and logistics coordination
- Assist with household calendar management and scheduling
- Track receipts and support budget management for employee expenses and household projects
- Coordinate appointments and events as needed for the home and family
