General Description and Classification Standards:

The Facilities Coordinator supports the Department of Watershed Management's Office of Facilities Management by coordinating daily facilities operations and facilities projects across assigned locations. The position serves as a central point of coordination for service requests and work orders; preventive maintenance and repairs; custodial, grounds, security, and building-system services; inspections; space, furniture, and equipment needs; vendors and contractors; and renovations, moves, and other facilities projects. This experienced coordinator works across service areas using established procedures, sound judgment, and timely escalation.

Supervision Received:

Works under the general supervision of the Project Manager I. Independently coordinates routine facilities work within established priorities and escalates safety, budget, schedule, contract, and operational concerns. Coordinates facilities activities involving employees, contractors, vendors, interns, and temporary personnel but does not have formal staff supervisory responsibility.

Essential Duties and Responsibilities:

These are typical responsibilities for this position and should not be construed as exclusive or all inclusive.

- Receives service requests and creates, prioritizes, assigns, tracks, updates, and closes facilities work orders in Maximo or another computerized maintenance management system (CMMS), including notes, photographs, status, and completion records.
- Coordinates facilities services across assigned locations, including preventive maintenance, repairs, custodial, grounds, security, HVAC, plumbing, electrical, roofing, fire and life-safety, communications, and after-hours emergency response.
- Conducts facility and project inspections; documents conditions, progress, deficiencies, safety concerns, service levels, and corrective actions; and monitors contractor work against scope, schedule, contract requirements, and applicable building and safety requirements.
- Coordinates vendors and contractors, including scopes of work, schedules, site access and escorts, deliverables, quotes, invoices, service performance, issue resolution, and contract-compliance follow-up.
- Supports renovations, office moves, restacks, furniture and equipment installations, site transitions, punch lists, and project closeout; reviews basic plans, specifications, estimates, and contractor documents and coordinates technical review when needed.
- Communicates with management, employees, customers, vendors, contractors, and partner agencies; resolves routine issues; and prepares status reports, inspection records, meeting notes, work notices, and action-item updates.
- Assists with facilities budgets, estimates, purchasing documents, invoice approvals, project tracking, supplies, inventories, assets, warranties, keys, access-control records, and coordination of maintenance troubleshooting, repair, and replacement needs.
- Assists as needed with all OFM operations including but not limited to janitorial, grounds, roofing, ceiling tiles, HVAC, etc.

Knowledge, Skills, and Abilities:

- Knowledge of facilities operations, maintenance methods, materials, equipment, service standards, and trade practices related to building construction, HVAC, plumbing, electrical, structural, roofing, fire and life-safety, security, communications, custodial, fencing, pest control, and grounds services.
- Knowledge of work-order management, Maximo or another CMMS, Microsoft Office, electronic records, reporting, and customer communication.
- Knowledge of project, vendor, contract, and purchasing coordination, including scope, schedule, budget, quotes, invoices, contract compliance, punch lists, and closeout.
- Knowledge of facility and project inspections, applicable building and safety requirements, accessibility, deficiency documentation, and corrective-action follow-up.
- Skill in reading basic plans, specifications, scopes, estimates, and contractor documents and in coordinating people, vendors, site access, materials, competing priorities, and communications across multiple locations and projects.
- Ability to communicate clearly, exercise sound judgment, maintain effective working relationships, respond to emergencies, recognize unsafe conditions, and escalate matters outside assigned authority.

Minimum Qualifications:

Education and Experience - High school diploma or GED and three (3) years of relevant experience in facilities operations, maintenance coordination, building maintenance, construction or project support, or property management. An associate degree in a related field may substitute for up to two (2) years of the required experience. Equivalent combinations of education, training, and experience will be considered.

Licensures and Certifications - A valid state-issued driver's license is required.

Preferred Requirements - Project Management Professional (PMP) certification is preferred but not required. Experience using Maximo or another CMMS and coordinating facilities vendors, inspections, work orders, contracts, or projects is also preferred.

Work Environment:

Work includes office and facility environments, travel between assigned locations, site inspections, active maintenance or construction areas, changing schedules, and emergency conditions. Occasional after-hours response may be required.

Lifting Requirements:

Light work: May occasionally exert up to 20 pounds of force and frequently exert up to 10 pounds to move objects. Work may also require standing, walking through facilities, bending, climbing stairs, and safely navigating active maintenance or construction areas.
