Job Title: Order Processing Specialist Job Description
The Order Processing Specialist serves as the primary point of contact for the sales team and their customers, ensuring all orders are handled quickly, accurately, and with a high level of service. This role manages order entry and processing, supports customer inquiries, and collaborates closely with internal departments to ensure timely and accurate order fulfillment. The position is ideal for someone who enjoys helping people, solving problems, and working in a fast-paced, team-oriented environment within a long-established manufacturing company in the food service industry.
Responsibilities
- Serve as the first point of contact for the sales team and customers regarding orders, providing fast, friendly, and accurate assistance.
- Respond promptly to sales and customer inquiries via phone and email, ensuring clear and professional communication.
- Process customer orders and returns accurately and efficiently within the ERP and CRM systems.
- Assist customers and internal stakeholders with product information requests and order-related questions.
- Collaborate with accounting, purchasing, manufacturing, and logistics teams to expedite orders and resolve issues.
- Maintain detailed and accurate records of orders, returns, and customer interactions in the ERP/CRM system, including AS400.
- Proactively follow up with internal and external stakeholders to ensure satisfaction and resolve any outstanding concerns.
- Use Microsoft Office tools, including Excel, Word, and Outlook, to support daily order processing and communication tasks.
- Ensure consistent, dependable attendance and demonstrate flexibility to accommodate non-standard work hours when necessary.
- Adhere to all company safety regulations and procedures while working in the office and when interacting with other departments.
- Contribute to a supportive, team-focused culture by collaborating closely with other representatives and cross-functional teams.
- Maintain a positive, solutions-oriented attitude and a strong desire to learn and grow within the organization.
Essential Skills
- 13 years of experience in order processing, order entry, or customer service.
- 13 years of experience using ERP and CRM systems.
- 13 years of experience using Microsoft Office products, including basic Excel, Word, and Outlook.
- High school diploma.
- Proven ability to perform accurate order entry and order management tasks.
- Experience with ERP-based order processing and data entry.
- Strong customer service skills, including handling inquiries via phone and email.
- Proficiency with email communication in a professional setting.
- Comfortable using order processing and CRM systems on a daily basis.
- Excellent verbal and written communication skills.
- Strong critical thinking and problem-solving abilities.
- Ability to work effectively in a fast-paced, team-oriented environment.
- Reliable, consistent attendance and willingness to support non-standard work hours as needed.
- Proficiency with Microsoft Office, including basic functions in Excel, Word, and Outlook.
- Strong attention to detail and accuracy in data entry and record keeping.
Additional Skills & Qualifications
- Experience in a manufacturing or business-to-business (B2B) environment is preferred.
- Experience with AS400 systems is a plus.
- Exposure to food packaging environments, including SQF and GMP practices, is an advantage.
- Familiarity with ERP and CRM platforms beyond AS400 is beneficial.
- Demonstrated ability to collaborate with accounting, sales, and warehouse teams.
- A positive attitude and a strong desire to learn and grow within the organization.
- Ability to adapt to changing priorities in a dynamic work environment.
- Interest in developing a long-term career with opportunities to move into other departments.
Work Environment
This role is 100% onsite in an office-based setting, working Monday through Friday from 8:00 a.m. to 5:00 p.m. The team operates in a cubicle-style office environment and maintains a close-knit, collaborative culture. You will work as part of a small team of three other representatives, for a total of four including the supervisor, and will interact frequently with Accounting, Sales, and Warehouse teams. Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
