AltaGas - Fuel Office Administrator, Yellowknife

AltaGas is seeking a Fuel Office Administrator to join the Enerchem Partnership team in Yellowknife, Northwest Territories. This position is responsible for providing administrative, customer service, inventory control, dispatch coordination, and accounting support for fuel distribution operations. The Fuel Office Administrator plays a critical role in ensuring the efficient and accurate administration of fuel sales, deliveries, inventory management, regulatory documentation, and customer accounts.

Working within the unique northern operating environment, this role requires the ability to coordinate logistics, maintain accurate records, support inventory planning, and communicate effectively with customers, suppliers, transportation providers, and field personnel. From bulk fuel storage and remote community resupply to inventory forecasting and transportation coordination, this position contributes directly to the safe and reliable delivery of fuel across the Northwest Territories.

You Will:

- Record daily fuel receipts, transfers, sales, and inventory movements.
- Monitor fuel inventory levels at terminals, bulk plants, and customer locations.
- Reconcile inventory balances and investigate discrepancies.
- Assist with fuel demand forecasting and resupply planning.
- Maintain fuel quality documentation and testing records.
- Prepare inventory and operational reports for management.

You Have:

- High School Diploma or GED required.
- Diploma or Certificate in Business Administration, Office Administration, Accounting, Logistics, or a related field preferred.
- Minimum 2-5 years of administrative experience.
- Previous experience in fuel distribution, transportation, logistics, mining support services, aviation fuels, petroleum operations, or industrial operations is considered an asset.
- Experience working in northern or remote operations is preferred.
- Experience with ERP systems, fuel management software, or inventory management systems is considered an asset.

Skills, Qualifications & Abilities:

- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Strong data entry and recordkeeping skills.
- Knowledge of inventory control and inventory reconciliation processes.
- Basic understanding of accounting principles, invoicing, and accounts receivable.
- Excellent organizational and multitasking abilities.
- Strong customer service and communication skills.
- Ability to work independently with minimal supervision.
- Ability to handle confidential business information.
- Strong problem-solving skills and attention to detail.
