What we want
The College of Dentistry is looking for a Oral Pathology Services Coordinator to serve in the department of Diagnostic Sciences in support of the timely diagnosis of biopsy specimens for the Oral Pathology Service (OPS). This position serves as a liaison between OPS and medical/dental facilities, clients, the Texas A&M University College of Dentistry departments, and the laboratory’s third‑party billing company. The OPS Coordinator provides essential customer service, including laboratory workflow, revenue cycle support, compliance, customer service, and administrative functions. This role serves as a liaison among pathologists, laboratory personnel, referring providers, patients, and institutional stakeholders to support efficient operations and revenue performance. What you need to know
Hourly rate: $21.51–$23.66, commensurate with qualifications and experience.
Work Schedule/Location: Located in Dallas, TX, this an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

Qualifications
Required Education and Experience:
- High school diploma or equivalent combination of education and experience.
- Two years of experience in a healthcare, dental, medical, laboratory, academic healthcare, or related administrative environment.
Preferred Qualifications:
- Three to five years of experience in a healthcare, pathology, dental, medical laboratory, or academic healthcare environment.
- Experience with pathology laboratory operations, specimen accessioning, report management, client services, or medical billing/revenue cycle workflows.
- Experience with Epic, LIS, EHR, billing systems, or healthcare workflow improvement initiatives.
- Histology vocabulary, scientific experience, or medical/scientific transcription experience
- Bachelor's degree in Biomedical Sciences, Public Health, Healthcare Administration, Health Sciences, Business Administration, or a related field; or an equivalent combination of education and experience.
- Three to five years of experience in a healthcare, dental, pathology, laboratory, or academic healthcare environment.
Knowledge, Skills, and Abilities:
- Experience working with patient records, healthcare documentation, or other healthcare administrative functions.
- Familiarity with pathology, laboratory, medical, or dental terminology.
- Experience with medical billing, insurance claims, revenue cycle processes, or reimbursement workflows.
- Experience with electronic health records (EHR), Epic, laboratory information systems (LIS), or similar healthcare software.
- Experience working in a regulated healthcare environment requiring attention to confidentiality and documentation standards.
- Experience with pathology laboratory operations, specimen accessioning, report management, client services, or medical billing/revenue cycle workflows
- Histology vocabulary, scientific experience, or medical/scientific transcription experience preferred.
Responsibilities
Specimen In-Processing and Laboratory Operations:
- Coordinate daily laboratory workflow to ensure accurate specimen processing and timely turnaround.
- Oversee specimen receipt, logging, accessioning, gross examination preparation, and related data entry in the LIS/database.
- Confirms patient information and ensures accuracy of data entry.
- Verify accuracy and completeness of clinical, billing, insurance, patient, and clinician information; follow up with offices as needed.
- Acts as a liaison with Revenue Cycle personnel to support complete requisitions, documentation, coding, and billing information.
Administrative and Billing Support:
- Coordinates administrative support of OPS and serves as a liaison with the Revenue Cycle Team on billing questions, claim denials, coding discrepancies, reimbursement trends, and missing documentation.
- Route insurance correspondence and checks, monitor work queues and unresolved billing issues, and escalate as appropriate.
- Assist with billing workflows, procedure documentation, Epic implementation, eligibility verification, and billing integration.
- Ensures accuracy in processing and tracking laboratory inventory and purchasing, monitor expenditures, and support expense reporting and budget awareness.
- Support quality improvement initiatives and assist with onboarding and training new personnel.
Distribution of Reports, Consult Materials, and Customer Service:
- Maintains data spreadsheets and compiles and distributes pathology reports to clinicians by fax or email in compliance with HIPAA.
- Coordinate report, slide, tissue block, and consult material requests, including return of submitted materials within required timelines.
- Maintain laboratory records, documentation, and archives in accordance with CLIA, HIPAA, institutional, inspection, audit, and accreditation requirements.
- Manage OPS email routing and provide timely client and patient support by email or phone, including referrals to diagnosticians when appropriate.
- Stays informed about policies and HIPAA requirements to ensure compliance and proper handling of patient information.
- Ensures compliance with HIPAA regulations and maintains the confidentiality and security of patient information throughout biopsy laboratory operations.
Coverage and Backup Responsibilities:
- Provides backup support for OPS staff during periods of unavailability. Additional duties may include assembling, mailing, and tracking biopsy kits and related documentation.
