About this role

About us

Manhattan Gastroenterology is a 14-physician gastroenterology practice with offices in Manhattan and Brooklyn, a Joint Commission–accredited ambulatory surgery center (ASC) and an in-house pathology laboratory. We are hiring a Chief Operating Officer (COO) to lead operations across the practice and help us grow.

Requirements

Position summary

The COO is the practice's senior operations executive and strategic partner to physician leadership, reporting to the Practice Medical Director. The role leads Practice Operations, Practice Quality Assurance, ASC Operations, Human Resources, the Pathology Department, Marketing and Healthcare IT. Success depends on trusted rapport with our physicians and close collaboration with Finance, so that staffing, scheduling and workflows drive provider productivity and financial performance. This is a hands-on role: you will be on-site across our locations, close to physicians, staff and patients, and personally involved in day-to-day operations, not leading from a distance.

Ideal for experienced practice administrators, executive directors or operations executives from multi-site physician groups.

- Reports to: Practice Medical Director
- Scope: Leads 7 department heads and their teams across 7 sites
- Location: On-site at our 27th Street corporate office (Manhattan) and our practice locations

Key responsibilities

Physician partnership

- Build trusted relationships with the Practice Medical Director, the ASC Medical Director and all GI physicians, serving as their primary operational point of contact.
- Hold regular check-ins on schedules, staffing and patient flow, and close the loop on every concern.
- Involve physicians in decisions that affect their clinics and procedure days, and explain changes before they happen.

Financial performance and productivity

- Partner with the Director of Finance and Revenue Cycle Manager to set and review provider productivity targets monthly: utilization, schedule fill, procedure volume and no-shows.

Operations and patient access

- Lead the Practice Manager, Director of Practice Quality Assurance, Director of ASC Operations, HR Manager, Director of Pathology, Marketing and the Healthcare IT & EMR Manager.
- Oversee medical offices, scheduling and patient access, the call center and infusion, ensuring consistency, efficient staffing and patient satisfaction across all sites.
- Monitor call center KPIs (speed of answer, abandonment, first-call resolution, quality and scheduling conversion) and lead weekly reviews, audits and coaching.
- Oversee physician PTO, procedure scheduling and anesthesia coverage, and optimize eClinicalWorks (eCW) templates to maximize provider utilization.
- Ensure inventory management controls cost and keeps clinic and ASC operations uninterrupted.

Quality, compliance, ASC and pathology

- Oversee aftercare, accreditation compliance, nursing and ASC operations through the Director of Practice Quality Assurance and the Director of ASC Operations.
- Ensure continuous readiness for Joint Commission surveys at the ASC and CLEP/CLIA inspections at the pathology lab.

People, culture and morale

- Fill open leadership positions within the first 6–8 months, including the Aftercare Manager and ASC Manager, and build a bench for future openings.
- Mentor department heads and staff with clear development goals, and ensure annual evaluations and standardized training.
- Build a respectful, collaborative environment and maintain morale through communication, recognition, fair workloads and acting on feedback.

Performance and growth

- Set consistent department meetings and KPI reporting, and drive continuous improvement with data.
- Assess what the organization needs to grow (staffing, workflows, systems and space) and bring recommendations to the Practice Medical Director.
- Lead operational planning for new service lines and site expansions.
- Oversee marketing, physician-referral growth and the practice's technology, EMR and cybersecurity through the marketing and Healthcare IT teams.

Qualifications

Required

- 7+ years of progressive healthcare operations leadership in a multi-site medical practice and/or ambulatory surgery center, including 3+ years in a senior leadership role.

- Performance-based annual bonus
- Medical, dental and vision insurance
- 401(k) retirement plan with a 3% employer profit-sharing contribution, whether or not you contribute
