Job Title: Property Associate (PM) Job Description The Property Associate serves as the primary administrative point of contact for an industrial real estate portfolio, providing accounting and financial support, maintaining positive tenant relationships, and delivering superior customer service. Responsibilities
- Provide exceptional customer service to tenants by responding promptly to inquiries, processing service requests, and coordinating the resolution of maintenance issues.
- Support the property management team with administrative tasks, including data entry, document preparation, and maintenance of property records and databases.
- Process Accounts Payable (AP) and Accounts Receivable (AR), manage certificates of insurance (COIs), code invoices, and complete other routine financial tasks accurately and on time.
- Assist with vendor coordination and work order management to ensure maintenance and repair activities are completed efficiently and within required timeframes.
- Help prepare monthly reports, financial summaries, and property performance updates for management and stakeholders.
- Support lease administration activities, including tenant move-in processes, document filing, and coordination of communications related to lease obligations.
- Assist with tenant events, building communications, and community engagement initiatives to enhance overall tenant experience and satisfaction.
- Provide backup support for reception duties, mail distribution, and general office operations as needed to ensure smooth daily functioning.
- Carry out additional tasks as required to comply with property management agreements, local ordinances, and operational needs of the properties.
Essential Skills
- Bachelor's degree in Business, Real Estate, Communications, or a related field.
- 12 years of work experience in an office environment, preferably in commercial real estate or property management.
- 12 years of work experience in a customer service or customer-facing position.
- Strong written and verbal communication skills, with the ability to interact professionally with tenants, vendors, and internal teams.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Demonstrated ability to provide high-quality administrative support, including accurate data entry and document management.
- Proficiency in Microsoft Office applications and general computer literacy for managing records and reports.
- Positive attitude and eagerness to grow within the commercial real estate industry.
Additional Skills & Qualifications
- Experience or exposure to commercial real estate, property management, or leasing is highly beneficial.
- Experience in customer service roles that required direct interaction with clients or tenants.
- Familiarity with accounts payable and accounts receivable processes, including invoice coding and certificate of insurance tracking.
- Ability to build and maintain strong tenant relationships through responsive communication and service.
- Comfort working as a self-starter who can take initiative and work independently while supporting a team.
- Interest in developing a long-term career in industrial and commercial property management.
Work Environment This role is based in an office setting within an industrial property management environment and follows a Monday through Friday schedule from 8:00 a.m. to 5:00 p.m. Employees have access to onsite parking. The position involves regular interaction with tenants, vendors, and internal teams, and requires frequent use of computers, property management systems, and Microsoft Office tools to manage records, financial tasks, and communications. The work pace is fast and dynamic, with a focus on responsiveness, professionalism, and collaboration. Interviews for the role are conducted initially onsite, followed by a virtual meeting to touch base. The environment supports learning and professional development, with opportunities to work closely with experienced property management professionals and grow within the commercial real estate industry. Appropriate professional office attire is expected.

Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
